Job Summary
We are seeking a highly organized, proactive, and professional Personal Secretary / Executive Assistant to provide comprehensive support to the Managing Director/Director. The ideal candidate should possess excellent communication skills, strong attention to detail, and the ability to handle confidential information with utmost discretion.
Key Responsibilities
- Manage and maintain the MD/Director's calendar, appointments, meetings, and travel schedules.
- Coordinate meetings, prepare agendas, record Minutes of Meetings (MOM), and track action items.
- Handle executive correspondence, emails, phone calls, and confidential documentation.
- Act as a liaison between senior management, internal departments, clients, vendors, and external stakeholders.
- Arrange domestic and international travel, hotel bookings, visa applications, and itineraries.
- Prepare presentations, MIS reports, dashboards, business reports, and official correspondence.
- Follow up on pending tasks, approvals, and commitments to ensure timely execution.
- Support office administration activities and coordinate with internal teams for operational requirements.
- Manage expense tracking, bill payments, insurance renewals, and executive-related personal tasks.
- Assist in board meetings, governance activities, and senior management coordination.
- Maintain organized records, filing systems, and documentation with a high level of confidentiality.
- Coordinate with vendors and assist in purchase orders, invoicing, and ERP-related processes.
- Ensure smooth communication and workflow between leadership and various business functions.
- Utilize MS Excel, PowerPoint, ERP systems, and AI tools to improve productivity and reporting.
Required Skills & Qualifications
- Excellent verbal and written communication skills.
- Strong coordination, organizational, and multitasking abilities.
- Proficiency in MS Office (Excel, Word, and PowerPoint).
- Ability to handle confidential information with professionalism and discretion.
- Strong follow-up and stakeholder management skills.
- Experience working with ERP systems and reporting tools will be an added advantage.
Preferred Candidate Profile
- Prior experience as a Personal Secretary, Executive Assistant, or similar role.
- Experience supporting MD, CEO, Director, or other senior leadership professionals.
- Ability to work in a fast-paced and dynamic environment.
- Strong problem-solving and time-management skills.
