Job Summary
We are seeking a proactive and detail-oriented QS Admin to support our Quantity Surveying and Project teams. The ideal candidate should have experience in the commercial interior fit-out industry and be proficient in handling contractor/client portals, invoice submissions, RA bills, work orders, project documentation, and day-to-day administrative activities. The candidate should be well-versed in Microsoft Office, Outlook, and online documentation systems.
Key Responsibilities
- Manage and monitor project-related communication through Microsoft Outlook.
- Upload and submit invoices, RA Bills (Running Account Bills), work orders, and other project documents on client/contractor portals.
- Maintain records of all project submissions, approvals, invoices, and correspondence.
- Coordinate with QS, Project Managers, Site Engineers, Accounts, and Procurement teams to collect and submit required documents.
- Track the status of invoices, RA Bills, and portal submissions, and follow up for approvals and payments.
- Prepare, update, and maintain project trackers, MIS reports, and documentation using Microsoft Excel.
- Organize and maintain digital and physical project files, contracts, work orders, BOQs, and related records.
- Ensure all documentation is complete, accurate, and submitted within client deadlines.
- Assist the QS team with billing documentation, quantity records, and project administration.
- Perform general administrative and coordination tasks as required.
Requirements
- 2–5 years of experience as a QS Admin, Project Admin, or Billing Coordinator in the commercial interior fit-out or construction industry.
- Hands-on experience with contractor/client portals for project documentation and invoice submissions.
- Knowledge of RA Bills, work orders, BOQs, invoices, and project documentation.
- Proficiency in Microsoft Outlook, Excel, Word, and other MS Office applications.
- Strong computer skills with the ability to manage multiple online portals and digital records.
- Excellent communication, coordination, and organizational skills.
- Ability to work independently and manage multiple projects simultaneously.
- Immediate joiners will be preferred.
Qualification
- Any Graduate or Diploma in a relevant field.
Preferred Skills
- Experience in commercial interior fit-out projects.
- Familiarity with billing documentation, BOQs, work orders, and project coordination.
- Strong attention to detail and documentation accuracy.
- Good analytical, time management, and follow-up skills.
