Job Summary
We are seeking a highly organized Back Office Executive to manage daily administrative and sales coordination activities. The ideal candidate will be responsible for maintaining records, preparing quotations and reports, coordinating with multiple departments, managing documentation, updating CRM/ERP systems, and ensuring seamless back-office operations that support the sales team and enhance customer satisfaction.
Key Responsibilities
1.Sales Coordination & Administrative Support
- Provide administrative support to the sales team for smooth day-to-day operations.
- Prepare quotations, purchase orders, sales orders, invoices, and other sales-related documents.
- Coordinate with customers regarding quotations, order confirmations, dispatch schedules, and pending documents.
- Assist the sales team in managing customer inquiries and follow-up activities.
2. Documentation & Record Management
- Maintain accurate customer, vendor, product, and inventory records.
- Organize and manage physical and digital documents efficiently.
- Verify data accuracy before processing official documents and reports.
- Handle documentation related to dispatches, procurement, logistics, and customer orders.
3. Coordination & Operations
- Coordinate with the Sales, Purchase, Logistics, Accounts, and Operations teams to ensure smooth workflow.
- Update customer information, order status, and sales activities in ERP/CRM software.
- Track pending orders, deliveries, and documentation to ensure timely completion.
- Assist management with scheduling, coordination, and operational support whenever required.
4. Reporting & MIS
- Prepare daily, weekly, and monthly MIS reports.
- Generate sales reports, order status reports, inventory reports, and other management reports.
- Maintain proper documentation for audits and internal reviews.
- Support process improvements to enhance operational efficiency and productivity.
Eligibility Criteria
Educational Qualification
- Graduate in Commerce, Business Administration, Management, or any related discipline (Preferred).
Experience
- 1–3 years of experience in Back Office Operations, Sales Coordination, Office Administration, MIS, Documentation, or a similar role.
Required Skills
- Proficiency in MS Excel, Microsoft Office, Google Workspace, ERP, and CRM software.
- Strong knowledge of documentation, MIS reporting, and office administration.
- Excellent written and verbal communication skills in English, Hindi, and Bengali.
- Strong organizational, analytical, and time-management skills.
- High attention to detail with excellent accuracy in data handling.
- Ability to manage multiple tasks and meet deadlines.
- Positive attitude with strong coordination and problem-solving abilities.
- Ability to work independently as well as collaboratively within a team.
