As our business continues to expand, we are looking for an experienced Transport Coordinator who can efficiently manage our transportation and dispatch operations.
Job Summary
We are looking for an experienced, proactive, and responsible Transport Coordinator to manage day-to-day transportation operations, including vehicle placement, transporter coordination, freight negotiation, dispatch management, vehicle tracking, and delivery follow-up.
The ideal candidate should have strong practical knowledge of the truck/transport market, an established transporter network, and the ability to arrange vehicles quickly at competitive freight rates.
Experience in steel, construction materials, infrastructure, heavy-material logistics, or B2B transportation will be highly preferred.
Key Responsibilities
- Coordinate daily vehicle requirements based on dispatch schedules, material quantity, destination, and delivery timelines.
- Arrange appropriate vehicles for transportation of steel and other heavy materials.
- Ensure timely vehicle placement at loading locations.
- Coordinate with transporters, truck owners, drivers, warehouses, customers, and internal teams.
- Negotiate freight rates and secure competitive transportation costs.
- Compare transporter rates, availability, reliability, and service quality before finalizing vehicles.
- Maintain regular contact with drivers and transporters from vehicle placement through delivery.
- Track vehicles from loading point to customer destination and provide regular status updates.
- Follow up on vehicle placement, loading, transit, unloading, and final delivery.
- Maintain an updated database of transporters, truck owners, drivers, routes, freight rates, and vehicle details.
- Verify vehicle and driver documents whenever required before dispatch.
- Handle transportation issues including vehicle delays, breakdowns, route problems, loading delays, driver issues, and delivery-related disputes.
- Coordinate closely with Sales, Purchase, Accounts, Warehouse, and Operations teams.
- Communicate with customers regarding vehicle details, dispatch status, expected delivery dates, and delays.
- Monitor freight and transportation expenses and identify opportunities for cost reduction.
- Maintain records of freight quotations, transporter details, vehicle placement, payments, PODs, and delivery status.
- Prepare daily and periodic dispatch, vehicle tracking, transporter, freight, and MIS reports.
- Escalate major transportation delays or operational issues to management without delay.
- Ensure dispatches and deliveries are completed safely and within committed timelines.
- Develop and maintain strong relationships with reliable transporters and fleet operators to ensure regular vehicle availability.
Skills & Qualifications
- Graduate in Logistics, Supply Chain Management, Business Administration, or a related field preferred.
- Minimum 2 years of relevant experience in transport coordination, logistics, dispatch, fleet operations, or transportation management.
- Strong practical knowledge of vehicle placement, freight negotiation, transporter coordination, and route planning.
- Good understanding of the local and interstate truck/transport market.
- Ability to manage multiple vehicles, transporters, dispatches, and deliveries simultaneously.
- Good working knowledge of MS Excel and Google Sheets.
- Experience with ERP or logistics management software will be an advantage.
- Strong communication, negotiation, coordination, and follow-up skills.
- Excellent problem-solving and decision-making abilities.
- Ability to work under pressure and manage urgent vehicle-placement requirements.
- Strong attention to detail, accountability, and ownership.
- Ability to prepare and maintain accurate transportation records and MIS reports.
- Experience in steel, construction materials, infrastructure, heavy-material logistics, or B2B transportation will be an added advantage.
