As we continue to grow, we are looking for a proactive and organized Assistant Manager – Admin to manage and strengthen our day-to-day administrative operations.
Job Summary
The Assistant Manager – Admin will be responsible for managing the company’s core administrative activities, including employee onboarding, recruitment coordination, travel management, office administration, vendor management, IT asset management, documentation, courier, and logistics.
This is a hands-on role that requires strong ownership, attention to detail, coordination skills, and the ability to manage multiple activities simultaneously in a growing organization.
Key Responsibilities
Employee Onboarding & Administration
* Manage end-to-end onboarding activities for new employees.
* Prepare and coordinate joining documentation and formalities.
* Schedule induction and coordinate with relevant department heads.
* Ensure workstations, laptops, system access, and other requirements are ready before the employee’s joining date.
* Maintain employee records, personnel files, and administrative documentation.
* Coordinate employee offboarding activities, including asset recovery and documentation.
Recruitment Coordination
* Coordinate with external recruitment and talent acquisition agencies.
* Share job requirements and follow up on candidate sourcing.
* Schedule interviews with candidates and interviewers.
* Maintain candidate trackers and monitor interview progress.
* Follow up with recruitment agencies and internal stakeholders for timely feedback.
* Maintain an updated view of open positions, candidates in process, and hiring timelines.
Travel Management
* Manage domestic and international travel arrangements for employees.
* Coordinate flight, hotel, transportation, and other travel requirements.
* Support employees with visa requirements and travel documentation.
* Manage travel booking portals and maintain accurate travel records.
* Track and maintain travel-related expenses and supporting documents.
Office Administration & Vendor Management
* Manage office supplies, stationery, pantry items, and other consumables.
* Monitor inventory levels and ensure timely procurement.
* Identify, evaluate, and coordinate with office service and maintenance vendors.
* Negotiate with vendors where required and monitor service quality.
* Maintain vendor records and documentation.
* Address day-to-day office administration issues and ensure timely resolution.
* Help maintain a professional, organized, and well-functioning workplace.
IT Asset Management
* Manage company laptops, peripherals, and other IT assets.
* Coordinate procurement, allocation, tracking, maintenance, and retrieval of assets.
* Maintain an accurate IT asset register.
* Coordinate with IT vendors and service providers for repairs, upgrades, and troubleshooting.
* Ensure new employees receive required equipment and access on time.
* Track assets during employee onboarding, transfers, and offboarding.
Documentation, Courier & Logistics
* Maintain organized company and employee documentation.
* Manage filing, record-keeping, and document retrieval.
* Coordinate incoming and outgoing courier shipments.
* Manage dispatch and receipt of documents, samples, and packages.
* Track shipments and coordinate with courier/logistics vendors to resolve delays or issues.
* Maintain proper records of courier and logistics activities.
General Administration & Process Improvement
* Support management and leadership with administrative and operational activities.
* Develop and maintain administrative trackers, checklists, and SOPs.
* Identify opportunities to improve administrative processes and efficiency.
* Maintain confidentiality of employee and company information.
* Support basic administrative and statutory compliance requirements.
* Handle other administrative and operational responsibilities as required.
Required Qualifications
* Bachelor’s degree in any discipline.
* 5–9 years of relevant experience in Administration, Office Management, HR Operations, or a similar role.
* Experience managing employee onboarding and administrative operations.
* Experience coordinating with recruitment agencies and managing interview schedules.
* Experience in office administration and vendor management.
* Experience managing laptops, IT assets, equipment, and IT vendors.
* Experience handling travel arrangements, documentation, courier, and logistics.
* Strong proficiency in MS Excel/Google Sheets and other commonly used office tools.
