The Compliance Executive is responsible for ensuring that all carriers meet regulatory and internal compliance standards. The role involves carrier vetting, onboarding verification, documentation management, and continuous monitoring to maintain a compliant and reliable carrier base.
Key Responsibilities:
1. Carrier Vetting
- Verify carrier credentials such as MC authority, DOT status, and safety ratings.
- Check insurance documents (COI) for validity and coverage limits.
- Ensure carriers meet FMCSA and company compliance standards before onboarding.
2. Carrier Compliance Monitoring
- Track expiration of insurance, authority, and other compliance documents.
- Conduct regular follow-ups with carriers for document updates.
- Maintain accurate compliance records and highlight risks or discrepancies to the Team Lead.
3.Carrier Onboarding Support
- Collect and verify onboarding documents such as W-9, COI, MC authority, and references.
- Ensure all required compliance checks are completed before activating carriers.
- Update and maintain carrier profiles in the TMS system.
4. Documentation & Data Management
- Maintain a well-organized and secure database of carrier records.
- Ensure data accuracy and timely updates in internal systems.
- Support audits by providing required compliance documentation.
5. Load Compliance Support
- Ensure only compliant carriers are assigned to loads.
- Coordinate with operations team in case of compliance issues during load booking.
- Assist in resolving compliance-related escalations.
6. Tracking & Coordination
- Coordinate with tracking teams to ensure carriers adhere to compliance during transit.
- Report service failures or compliance violations.
7. Confidentiality & Data Security
- Handle sensitive carrier and company data with strict confidentiality.
- Ensure no data is shared without proper authorization.
8. Reporting & KPI Support
- Maintain reports on: Compliance ratio, Document validity status & Carrier onboarding accuracy
- Share daily/weekly updates with the reporting manager.
9. System Usage
- Work on TMS, load boards, and compliance tools efficiently.
- Report any system issues to the Team Lead or IT support team.
Eligibility Criteria:
- Minimum 6 months – 2 years of experience in US Logistics / Freight Brokerage (Carrier Operations/Compliance).
- Knowledge of FMCSA regulations, MC/DOT, Insurance (COI), and carrier onboarding process.
- Good communication and follow-up skills.
- Comfortable working in US night shift.
