We are looking for a proactive and energetic Operations Executive to support the planning, coordination, and execution of events. The role involves extensive fieldwork, vendor coordination, venue visits, site recce, event setup, and on-ground event management. The ideal candidate should be comfortable working in a fast-paced environment and handling multiple operational activities simultaneously.
Key Responsibilities
- Handle end-to-end on-ground event operations, including pre-event preparation, event setup, execution, and post-event dismantling.
- Conduct site recce/venue visits to understand the location, identify operational requirements, and plan event logistics.
- Coordinate with vendors, suppliers, venues, production teams, decorators, fabricators, transporters, and other service providers.
- Manage vendor requirements, quotations, bookings, deliveries, schedules, and on-site coordination.
- Supervise event setup, branding, fabrication, AV, lighting, furniture, décor, transportation, and other production requirements.
- Ensure all event materials, equipment, and manpower reach the venue on time and as per the approved requirements.
- Coordinate with internal teams, clients, vendors, and event staff to ensure smooth execution of events.
- Monitor on-site activities and resolve last-minute operational issues and challenges effectively.
- Assist in preparing event checklists, material requirements, vendor details, and operational plans.
- Ensure proper coordination during event rehearsals, setup, live event execution, and dismantling.
- Track event materials and equipment and ensure proper handover, collection, and return after the event.
- Travel to different venues and locations as required for site visits, vendor meetings, and event execution.
- Prepare basic post-event reports, vendor feedback, and operational documentation.
Requirements
- 1–3 years of experience in Event Management, Event Operations, Production, MICE, Hospitality, or a related field.
- Strong interest and willingness to work in field operations and on-ground event execution.
- Good knowledge of vendor coordination, event logistics, venue management, and event production.
- Strong communication and negotiation skills.
- Ability to coordinate with multiple vendors and teams simultaneously.
- Good problem-solving skills and the ability to handle last-minute changes and pressure.
- Should be willing to travel extensively and work flexible hours, including weekends and late evenings, depending on event requirements.
- Basic knowledge of MS Office/Google Workspace is preferred.
- A valid driving licence would be an added advantage.
Pay: ₹30,000.00 - ₹35,000.00 per month
