Position Overview
We are looking for an experienced and result-oriented Head – Accounts with strong experience in the Transportation, Logistics, Fleet, or Cold Chain industry.
The candidate will be responsible for independently managing the company's complete accounting and finance functions, including customer and vendor accounts, billing, collections, taxation, statutory compliance, financial reporting, reconciliation, and MIS.
The ideal candidate should understand the financial and accounting processes specific to transportation/logistics businesses, including trip-wise billing, freight accounting, vendor/market vehicle payments, customer collections, fuel-related accounting, fleet expenses, and operational reconciliations.
Key Responsibilities1. Accounting & Finance Management
- Independently manage day-to-day accounting operations, including bookkeeping, ledger management, journal entries, and reconciliations.
- Manage Accounts Receivable (AR) and Accounts Payable (AP) for customers, vendors, transporters, and employees.
- Review and maintain customer and vendor ledgers.
- Prepare and review P&L, Balance Sheet, MIS, and other financial reports.
- Handle month-end and year-end closing activities.
- Monitor accounting accuracy and ensure timely closure of outstanding entries.
- Coordinate with management and auditors for financial reporting and accounting requirements.
2. Transportation & Logistics Accounting
- Manage accounting related to freight, transportation, trip expenses, market vehicles, own fleet, vendors, and transporters.
- Review and monitor trip-wise billing, freight invoices, vendor bills, diesel/fuel expenses, tolls, advances, and trip settlements.
- Ensure proper accounting and reconciliation of customer billing against trips/PODs.
- Monitor transporter/vendor payments and outstanding balances.
- Analyse operational costs and identify accounting discrepancies.
- Coordinate with the Operations team for billing, trip settlements, PODs, and supporting documents.
3. Billing, Collections & Receivables
- Oversee customer invoicing and ensure timely and accurate billing.
- Monitor customer outstanding and ageing reports.
- Follow up on overdue payments and coordinate with the Sales/Operations teams for collections.
- Resolve billing discrepancies, short payments, debit notes, credit notes, and customer account issues.
- Prepare regular collection and outstanding MIS for management.
4. Taxation & Statutory Compliance
- Manage GST, TDS, Income Tax, and other applicable statutory compliances.
- Ensure timely filing of returns and payment of statutory dues.
- Maintain proper documentation and records for audits.
- Coordinate with CA, tax consultants, auditors, and other external professionals.
- Ensure compliance with applicable financial and regulatory requirements.
5. Vendor & Transporter Accounts
- Verify vendor and transporter bills against supporting documents.
- Manage transporter/vendor ledgers and reconciliation.
- Ensure timely processing of approved vendor payments.
- Resolve payment-related queries and discrepancies.
- Monitor advances and settlements provided to vendors/drivers as applicable.
6. MIS & Management Reporting
- Prepare monthly and periodic Accounts & Finance MIS.
- Provide management with reports on:
- Customer outstanding
- Vendor outstanding
- Collections
- Billing
- Trip-wise expenses
- Freight revenue
- Operational expenses
- Profit & Loss
- Cash flow
- Analyse financial data and highlight variances, risks, and areas requiring management attention.
7. Audit, Compliance & Documentation
- Coordinate internal and external audits.
- Maintain accurate accounting, tax, and statutory records.
- Ensure proper documentation of financial transactions.
- Support management in financial planning, budgeting, and cost-control initiatives.
- Handle basic legal and financial documentation related to contracts, registrations, and compliance.
Required Qualifications & Experience
- Bachelor's or Master's degree in Commerce, Accounting, Finance, or a related field.
- CA Inter / CA Final candidates will be preferred.
- 5–10 years of relevant experience in Accounts & Finance.
- Mandatory experience in Transportation, Logistics, Fleet Management, Cold Chain, Freight, or related industries.
- Candidates with strong experience in transportation/logistics accounting and freight billing will be strongly preferred.
- Experience handling CA-level accounting, taxation, compliance, audits, and financial reporting is preferred.
Required Skills
- Strong knowledge of GST, TDS, Income Tax, and statutory compliance.
- Excellent knowledge of Tally / ERP / Accounting Software.
- Strong command of MS Excel and financial MIS.
- Good understanding of AR, AP, billing, collections, reconciliation, and financial reporting.
- Strong analytical and problem-solving skills.
- Good communication and coordination skills.
- Ability to independently manage the Accounts & Finance function.
- Strong leadership, ownership, and decision-making abilities.
