Role Overview:
Jainam Jivika Foundation is looking for a highly organized and proactive Operations Assistant to work directly with the leadership and support day-to-day operational activities.
This role is ideal for someone who enjoys working closely with leadership, managing communications, organizing meetings, and ensuring smooth execution of operational tasks.
The candidate will play an important role in streamlining communication, coordinating across teams, and helping in operational workload.
Key Responsibilities:
Executive Coordination
Draft professional emails, communications, and follow-ups
Manage the leadership’s calendar and schedule meetings, calls, and appointments
Organize and coordinate internal and external meetings
Prepare meeting agendas, minutes, and action points
Operational Support
Assist in managing day-to-day operational activities
Coordinate with different departments for task follow-ups
Maintain documentation, reports, and operational records
Track ongoing projects and ensure timely execution
Communication & Coordination
Act as a liaison between the leadership and internal teams
Ensure timely follow-ups on decisions and action points
Support internal communication and announcements
Meeting & Event Management
Schedule and organize team meetings, workshops, and internal discussions
Assist with organizing, logistical arrangements for meetings and presentations
Requirements:
Strong written and verbal communication skills
Excellent organizational and multitasking ability
Ability to handle confidential information professionally
Proficiency in Google Workspace / Microsoft Office
Strong attention to detail and problem-solving skills
Qualification:
Bachelor’s degree in Business Administration, Management, Communications, or related field
1–4 years of experience in operations, executive assistance, or administration
Fresh graduates with strong organizational and communication skills are encouraged to apply.
