Key Responsibilities:
- Greet and welcome visitors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls.
- Manage the reception area to ensure it is tidy, organized, and presentable.
- Handle incoming and outgoing mail, deliveries, and couriers.
- Schedule and confirm appointments and meetings.
- Assist in administrative tasks such as data entry, filing, and document management.
- Maintain visitor logs and issue security passes as needed.
- Provide information to clients and visitors about the company’s services.
- Coordinate with other departments to ensure communication and workflow efficiency.
- Order and maintain office supplies and stationery.
- Perform other clerical duties as assigned by management.
Qualifications and Skills:
- High school diploma or equivalent; associate degree preferred.
- Proven experience as a receptionist, front desk representative, or similar role.
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Proficiency in MS Office (Word, Excel, Outlook).
- Professional appearance and demeanor.
- Strong organizational and multitasking abilities.
- Attention to detail and problem-solving skills
Experience Requirements
- 1–3 years of experience in a receptionist, administrative assistant, or front office role.
- Experience managing multi-line phone systems and handling client inquiries.
- Familiarity with office equipment (printers, fax machines, etc.) and basic administrative procedure
