Admin Executive
Work Dynamics
The Admin Executive will be responsible for overseeing and managing administrative operations with a primary focus on soft services, asset management, and housekeeping functions. This role ensures smooth day-to-day facility operations and maintains high standards of workplace environment and service delivery.
Key ResponsibilitiesSoft Services ManagementCoordinate and oversee all soft services including housekeeping, pest control, landscaping, waste management, and pantry services. Ensure service providers meet agreed service level agreements and quality standards. Conduct regular inspections and audits of soft service delivery and implement corrective actions where necessary. Manage vendor relationships and monitor contract compliance for all soft service providers.
Asset ManagementMaintain comprehensive asset registers for furniture, fixtures, equipment, and other movable assets. Conduct periodic physical verification and reconciliation of assets across facilities. Coordinate asset tagging, tracking, and documentation in alignment with organizational policies. Manage asset lifecycle including procurement, deployment, maintenance, and disposal. Prepare reports on asset utilization, depreciation, and replacement requirements.
Housekeeping OperationsSupervise housekeeping staff and ensure cleanliness standards are maintained across all areas. Develop and implement housekeeping schedules, checklists, and quality control measures. Manage cleaning supplies inventory and ensure adequate stock levels. Address escalations related to housekeeping quality and implement improvement plans. Ensure compliance with health, safety, and hygiene protocols.
General AdministrationHandle administrative correspondence, documentation, and record-keeping. Coordinate with various departments to support operational requirements. Assist in managing office supplies, stationery, and consumables inventory. Support facilities-related projects and initiatives as required. Prepare regular reports on administrative operations, expenses, and performance metrics.
Required QualificationsEducation: Bachelor's degree in Business Administration, Facilities Management, or related field
Experience: 2-4 years of experience in administrative roles with exposure to facilities management, soft services, or asset management
Skills:
Strong organizational and multitasking abilities
Excellent communication and coordination skills
Proficiency in MS Office Suite (Excel, Word, PowerPoint)
Knowledge of asset management systems and processes
Vendor management and negotiation capabilities
Attention to detail and quality consciousness
Problem-solving and decision-making skills
