Role: Operations Manager | Location: Delhi NCR (On-site) | Experience: 5+ Years
About the Role
We are looking for a sharp, organised and proactive Operations Generalist to join our growing agency team. This is an urgent hire for a critical operations function that sits at the intersection of vendor management, influencer partnerships, finance coordination and project delivery.
The ideal candidate has prior experience working within a creative, influencer marketing, or digital agency environment and can independently manage multiple moving parts without dropping the ball. You will be the operational backbone — owning vendor ecosystems, controlling costs, managing contracts, and ensuring seamless coordination between clients and delivery teams.
Key Responsibilities (KRAs)
1. Vendor Coordination
- Serve as the primary point of contact for all agency vendors including production houses, freelancers, studios, and logistics partners
- Maintain and update vendor databases with contact details, service categories, and past performance records
- Ensure timely delivery of services by proactively following up and resolving vendor-side bottlenecks
- Build and maintain strong long-term relationships with key vendors for operational continuity
2. Scouting & Onboarding Vendors
- Identify and evaluate new vendors across categories such as production, logistics, content, tech, and influencer support
- Conduct due diligence — assess vendor credibility, capability, pricing benchmarks, and turnaround timelines
- Onboard new vendors through proper documentation, agreement execution, and briefing processes
- Stay updated on emerging vendor options in the market to maintain a competitive vendor pool
3. Vendor Shortlisting & Negotiation
- Analyse requirements for each campaign or project and shortlist the most suitable vendors
- Run competitive quote processes (RFQ/RFP) and benchmark costs across multiple vendors
- Lead negotiations to secure the best pricing, payment terms, and service levels
- Present shortlisted recommendations with cost-benefit justification to internal stakeholders
4. Cost Control & Optimisation
- Track all vendor-related costs against approved budgets and flag variances proactively
- Identify opportunities to reduce operational expenditure without compromising quality
- Build and maintain cost trackers and MIS reports for leadership review
- Evaluate and renegotiate existing vendor contracts periodically to ensure market-aligned pricing
5. Influencer Contract Management & Negotiation
- Manage the end-to-end contracting process for influencer partnerships — from agreement drafting to execution
- Negotiate deliverable timelines, usage rights, exclusivity clauses, and payment terms with influencers and their managers
- Maintain a centralised repository of all influencer contracts, renewals, and compliance records
- Coordinate with the legal or compliance team (where applicable) to ensure contracts protect agency interests
6. Accounts & Finance Management (Vendors)
- Own the vendor payment cycle — raise POs, track invoices, verify against deliverables, and initiate timely payments
- Maintain accounts payable records and liaise with the finance team for reconciliation
- Track advance payments, credit notes, and outstanding vendor dues on a regular basis
- Ensure GST compliance, TDS deductions, and documentation accuracy for all vendor transactions
7. Client & Vendor Coordination
- Act as the operational bridge between client requirements and vendor execution
- Translate client briefs into actionable vendor instructions and ensure alignment on expectations
- Proactively communicate progress updates, risks, and timelines to both internal teams and clients
- Manage escalations effectively and ensure issues are resolved with minimal disruption to delivery
8. Project Management
- Oversee end-to-end project operations — from kickoff to delivery — ensuring timely and within-budget execution
- Maintain project trackers, status dashboards, and internal reporting across all active campaigns
- Coordinate cross-functionally with creative, client servicing, finance, and influencer teams
- Identify risks early and put mitigation plans in place to protect delivery timelines
What We're Looking For
Must-Have Skills
- 5+ years of operations experience, preferably in a creative, influencer marketing, or digital agency
- Strong vendor management and negotiation track record
- Experience handling influencer contracts or talent agreements
- Proficient in MS Excel / Google Sheets for cost tracking and MIS
- Working knowledge of GST, TDS, and basic accounts payable processes
- Excellent organisational skills with strong attention to detail
- Ability to multitask and manage concurrent projects independently
Good to Have
- Exposure to influencer marketing platforms or creator ecosystems
- Experience with project management tools like Asana, Notion, or Monday.com
- Prior experience working on brand campaigns or large-scale influencer activations
- Familiarity with vendor onboarding and compliance documentation
