Job Summary
The Accounts Executive will be responsible for end-to-end management of the school's fee accounting, statutory documentation (including RTE and UDISE compliance), procurement, inventory, and vendor management. The role requires close coordination with school leadership, parents, and external authorities to ensure accurate records, timely fee collection, and cost-effective procurement.
Key Responsibilities
- Fee Management & Collection
- Maintain fee registers, both online (ERP/software) and offline (manual/physical records), ensuring accuracy and timely updates.
- Track fee dues and follow up with parents/guardians for collection; maintain defaulter lists and escalate as needed.
- Prepare periodic MIS reports on fee collection status, outstanding dues, and reconciliations for management review.
- RTE Documentation & Statutory Compliance
- Manage RTE (Right to Education) documentation, admissions data, and approvals in coordination with government authorities.
- Maintain and update UDISE (Unified District Information System for Education) records accurately and within timelines.
- Liaise with education department officials for RTE reimbursements, audits, and related correspondence.
- Procurement & Inventory Management
- Manage the end-to-end procurement process for school supplies, stationery, and other operational requirements.
- Maintain accurate inventory records, conduct periodic stock verification, and prevent shortages/overstocking.
- Vendor & Transport Management
- Identify, evaluate, and manage vendors for procurement and transport services.
- Negotiate rates and terms with vendors to drive cost savings while maintaining service quality.
- Monitor vendor performance and ensure timely resolution of issues or disputes.
- Cost Optimization
- Continuously identify opportunities for cost savings across procurement and transport operations.
- Support budgeting and expense-tracking activities for the school.
Qualifications & Experience
- Any Graduate (Commerce/Accounts background preferred).
- MBA in Finance/Accounts - preferred, not mandatory.
- 3-5 years of relevant experience, preferably in school administration, education sector accounts, or a similar back-office finance role.
Skills & Competencies
- Working knowledge of accounting/fee-management software and MS Excel.
- Strong follow-up, negotiation, and vendor-coordination skills.
- Good understanding of documentation and compliance processes (RTE, UDISE, or similar statutory frameworks).
- Attention to detail and accuracy in record-keeping and reconciliation.
- Ability to multitask and coordinate with parents, vendors, and government authorities.
- Good communication skills in English/Marathi/Hindi.
