Position Summary
BearCom is seeking a detail-oriented, organized, and proactive Recruitment Coordinator to provide offshore administrative and coordination support to the HR and Recruiting team. This role is responsible for managing the day-to-day operational backbone of the recruiting function – including job postings, contractor setup, position management, HRIS data entry, candidate coordination, and recruitment administrative support.
The ideal candidate brings strong experience working in HRIS platforms (Paycom preferred), is comfortable operating across multiple time zones, and thrives in a fast-paced, high-volume environment where accuracy, responsiveness, and follow-through are essential.
Key Responsibilities
Job Posting & Requisition Management

Create, post, and manage job requisitions across internal and external platforms (Paycom, Indeed, LinkedIn, BearCom Careers Portal)

Ensure all job postings are accurate, complete, and aligned with approved requisition details (title, location, branch, department, compensation range)

Monitor posting performance and refresh or repost as needed to maintain pipeline visibility

Close requisitions upon hire and ensure all records are updated and reconciled in Paycom
Contractor Setup & Administration

Set up new contractors in Paycom in accordance with BearCom's standardized contractor onboarding process

Coordinate with Recruiting, HR Operations, IT, and Procurement to ensure all onboarding steps are completed accurately and on time

Maintain the contractor tracker and ensure all active contractor records are current

Process contractor offboarding in Paycom per the standardized offboarding process, coordinating with all relevant stakeholders
Position & HRIS Management (Paycom)

Create and maintain positions in Paycom, ensuring accuracy in job title, branch code, department, reporting structure, and compensation details

Support requisition question group data entry – including Job Title for Offer Letter, Branch Code, and Salary Range fields

Update position records as needed for transfers, promotions, backfills, and organizational changes

Maintain data integrity across all HR and recruiting records in Paycom
Recruitment Coordination

Schedule interviews between candidates and hiring managers across multiple time zones, coordinating calendars and sending confirmations

Communicate with candidates throughout the hiring process – acknowledging applications, providing status updates, and coordinating next steps

Coordinate with staffing agencies on candidate submissions, interview scheduling, and feedback collection

Prepare and distribute candidate packets, interview guides, and hiring manager briefing materials as needed

Track and update candidate status in the recruiting tracker and Paycom
-
Support the team with offer letter preparation, ensuring the correct template is selected and all details are accurate

Coordinate pre-employment activities including background checks, drug screenings, and motor vehicle record checks

Support new hire onboarding coordination – ensuring all pre-start tasks are completed and tracked
Reporting & Administrative Support

Support preparation of weekly recruiting dashboards and requisition reports
-
Maintain and update recruiting trackers, onboarding trackers, and agency submission logs
-
Assist with data reconciliation between Paycom and manual tracking sheets
-
Provide general administrative support to the HR and Recruiting team as needed
Required Qualifications
-
3+ years of experience in recruitment coordination, HR administration, or HRIS support
-
Experience working with HRIS/ATS platforms – Paycom experience strongly preferred
-
Experience managing job postings across multiple platforms (Indeed, LinkedIn, career portals)
-
Strong proficiency in Microsoft Excel (data entry, sorting, filtering, basic formulas)
-
Excellent attention to detail and data accuracy
-
Strong written and verbal communication skills in English

Ability to work independently across time zones with minimal supervision

Experience coordinating interviews and managing calendars across multiple stakeholders
-
Comfortable working in a fast-paced, high-volume recruiting environment
Preferred Qualifications

Experience supporting US-based organizations from an offshore location

Familiarity with contractor onboarding and offboarding processes

Experience with background check coordination and pre-employment screening

Experience working with staffing agencies and managing external candidate submissions

Familiarity with offer letter preparation and compliance documentation

Exposure to reporting and dashboard preparation for leadership audiences

Experience with Google Workspace or Microsoft 365
Working Hours
This role requires overlap with US Central Time (CT) business hours. Specific working hours will be determined based on the candidate's location and team needs, with a minimum of 4–5 hours of daily overlap with CT business hours.
