The Personal Assistant to the MD provides high-level administrative, strategic, and secretarial support to ensure the smooth operation of the Managing Director's office. The ideal candidate serves as a primary liaison on industry-specific projects, tracking critical regulatory updates, managing strictly confidential business pipelines, and streamlining cross-functional communication with internal departments and external partners.
- Pharma-Specific Approval & Tracking: Route, track, and secure the MD's sign-off on urgent cross-functional approvals, including active pharmaceutical ingredient (API) procurement, clinical trial documents, and patent applications.
- Regulatory & Board Preparation: Coordinate and format highly sensitive documentation for regulatory bodies (e.g., USFDA, CDSCO) and compile quarterly board papers and stakeholder presentations.
- Calendar & Timeline Management: Manage the MD’s complex calendar across multiple time zones, prioritizing critical milestones such as drug launch timelines, plant audits, and international partner summits.
- Meeting & Minutes Management: Attend executive-level, R&D, and legal meetings to record precise Minutes of Meetings (MoM), systematically tracking action items across scientific and commercial teams.
- Travel & Audit Logistics: Arrange extensive domestic and international travel, securing fast-track visas and managing complex transit schedules for global plant inspections and pharmaceutical exhibitions.
- Stakeholder & PR Liaison: Filter high-volume emails and phone calls, serving as a professional gatekeeper between the MD and external healthcare vendors, legal heads, and distribution partners.
- Data & Project Monitoring: Build and maintain secure management information system (MIS) reports and digital repositories for high-value contracts, clinical data, and corporate files.
Required Technical Skills & Qualifications
- Education: Bachelor’s or Master’s degree in Business Administration, Corporate Secretarial Practices, or a life-sciences field (B.Pharm / B.Sc).
- Industry Experience: 3–7+ years of experience as a PA or Executive Assistant (EA), with at least 2 years of direct experience within a pharmaceutical, biotech, or healthcare organization.
- Productivity Software: Advanced mastery of Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Project Tools: Practical experience using automated pipeline and tracking tools (such as Trello, Asana, or internal ERP systems).
