Job Description Summary -
What this job involves:
Technical Proficiency: Have a good practical knowledge and understanding of the mechanical, electrical, plumbing, and HVAC systems of the building, must be knowing the complete operation and maintenance of the MEPF system.
Communication Skills: The ability to explain a complex engineering problem clearly to someone who isn't an engineer, whether that’s in a quick email or a boardroom meeting.
Critical Infrastructure: Must know how to handle and maintain the "zero-downtime" for critical infrastructure like UPS, PACs, FAPA, BMS & electrical distribution.
Finance & Procurement: Expert in budgetary forecasting and spend tracking via PO/PR records. Skilled in designing detailed Bills of Quantities (BOQ) for Repair & Maintenance (R&M) and conducting technical-commercial comparisons to streamline procurement.
LL Governance: Liaising with the landlord for day-to-day operation requirements and upkeep of common area services.
Incident Management: Managing the incidents is a critical requirement , fixing the immediate emergency like lift entrapment, fire alarms etc. Effective incident management requires identifying not just immediate causes but systemic issues. This means analyzing trends, implementing procedural changes, and training staff on new protocols. Tracking the effectiveness of corrective actions ensures problems don't recur.
Vendor Management: Liasoning and negotiation with the Vendor contractors, work safely, and actually deliver the quality of work we are paying them for.
EHS Knowledge: Safety first, always. Ensuring everyone follows the safety rules (like Lockout/Tagout) so everyone goes home safe at the end of the shift. Daily safety briefing should be conducted on a daily basis to make safety as habitual practice.
BMS Knowledge: Knowing the BMS operation and its methodology is important as this is the digital "brain" that controls the Building AC, lighting, and FAPA system.
Compliance & Auditing: Making sure we're strictly following local laws, building codes, and safety standards so we pass any inspections. Coordinate with the landlord for renewal of the statutory compliance before their expiry.
Project Coordination: Ensuring smooth execution of the minor projects in sync with the day to day operations.
Asset Management: Knowing exactly what equipment we have, keeping a close eye on its health, age & conditions, and doing the right maintenance so we get the absolute longest life out of every machine before it needs replacing.
Annual Power Shutdowns: Must be part of power annual shutdowns and know all the procedures and steps before undertaking the site to execute shutdown activity. Planning annual shutdowns requires months of preparation, including equipment scheduling, vendor coordination, and tenant communication. Understanding critical path scheduling ensures work is completed within available windows while maintaining safety standards.
Innovations: Effectively pitching new technologies or sustainable practices in engineering operations to enhance the building operation & maintenance.
Energy Management and Optimization: Conducting comprehensive energy audits requires understanding building energy flows, identifying inefficiencies, and quantifying improvement opportunities. This includes sub-metering analysis, load profiling, and bench-marking against similar facilities. Implementing new ideas and technologies to reduce the energy consumption and achieve the assigned targets.
Contract Management: Understanding the fine print in our vendor agreements to make sure we're getting good value and holding them accountable.
Risk & Business Continuity: Develop and maintain a robust Business Continuity Plan (BCP) covering critical failure scenarios (e.g., total power blackout, server room thermal runaway, or water supply failure).Schedule and lead Mock Drills and "Black-Start" tests for UPS and DG sets to ensure failover systems engage within defined SLA parameters.Conduct quarterly infrastructure audits to identify and mitigate hardware or utility vulnerabilities before they cause downtime.
Minor Project: Ensuring smooth execution of the minor projects in sync with the day to day operations. Oversee the end-to-end lifecycle of Minor Projects (e.g., office fit-outs, equipment retrofits, or capacity expansions) while ensuring "Business as Usual" (BAU) is maintained.Act as the primary liaison between project vendors and internal department heads to manage noise, dust, and utility shutdowns during off-peak hours.
Training & learning Development: Maintain a Technical Skill Matrix for all staff and on-site technicians, identifying areas for specialized training (e.g., High Voltage handling, BMS operations).Ensure 100% of new joiners and third-party contractors undergo mandatory EHS and Site-Specific Orientation before commencing work.Implement a monthly "Knowledge Sharing Session" where the team reviews recent incidents or new technology to prevent repeat mistakes.
Implementation of SOPs & SOW: Standard Operating Procedures (SOPs) for all critical tasks to ensure consistency and safety, regardless of which shift is on duty.Rigorously monitor vendor performance against the Scope of Work (SOW), ensuring that "Contracted vs. Delivered" services are audited monthly.
AMC Renewal: Maintain a proactive AMC Tracker to initiate renewal discussions 60–90 days prior to expiry, avoiding any "coverage gaps. Evaluate vendor KPIs (Response time, uptime, part availability) prior to renewal to negotiate better commercial terms or service levels.
Client/Stakeholder Management
Proactively engage stakeholders to ensure that on site client’s expectations are met though high levels of customer service
Build and develop effective client / stakeholder relationships across multiple levels of the organization
Proactively understand the customers/ employees needs and act on them before being requested
