Job Summary
We are seeking a detail-oriented and organized Sales Administrator with experience in the freight forwarding and logistics industry. The candidate will support the sales team by managing quotations, customer coordination, documentation, reporting, and internal communication to ensure smooth sales operations.
The ideal candidate should have strong administrative skills, good communication abilities, and knowledge of freight forwarding processes.
Key Responsibilities
- Support the sales team in daily administrative and coordination activities.
- Prepare and send quotations for air freight, sea freight, customs clearance, and logistics services.
- Coordinate with overseas agents, shipping lines, airlines, transporters, and internal operations teams.
- Maintain customer records, sales reports, and CRM databases.
- Follow up with customers regarding quotations, inquiries, and documentation.
- Assist in preparing contracts, rate sheets, and sales presentations.
- Monitor shipment status and update clients when required.
- Handle customer inquiries and provide timely responses.
- Support the sales team in achieving business targets through efficient coordination.
- Prepare monthly sales reports and MIS reports.
- Ensure proper filing and maintenance of sales-related documents.
- Coordinate with finance department for invoicing and payment follow-ups.
Required Skills
- Knowledge of freight forwarding and logistics operations.
- Good understanding of import/export documentation and shipping procedures.
- Strong communication and coordination skills.
- Proficiency in MS Office (Excel, Word, Outlook).
- Familiarity with CRM software and ERP systems preferred.
- Ability to multitask and work under pressure.
- Strong attention to detail and organizational skills.
Qualifications
- Bachelor’s degree in Business Administration, Logistics, Supply Chain, or related field preferred.
- Minimum 2–3 years of experience in freight forwarding sales support or sales administration.
- Experience in handling quotations and customer coordination preferred.
Preferred Candidate Profile
- Experience in air freight and sea freight coordination.
- Good knowledge of shipping terminology and Incoterms.
- Strong follow-up and customer service skills.
- Ability to work effectively with cross-functional teams.
