Position Summary
The Front Office Receptionist is responsible for managing the front desk operations, handling visitors, answering phone calls, maintaining office records, and providing administrative support to ensure smooth day-to-day office functioning.
Key Responsibilities
Front Office Management:
Greet and welcome visitors, clients, vendors, and employees professionally.
Manage the reception area and ensure it remains clean and organized.
Handle incoming and outgoing telephone calls and direct them to the appropriate departments.
Maintain visitor registers and issue visitor passes as per company procedures.
Administrative Support:
Receive, record, and distribute incoming correspondence, courier deliveries, and documents.
Coordinate outgoing courier services and maintain related records.
Assist in scheduling meetings, appointments, and conference room bookings.
Support HR and Administration activities as required.
Documentation & Record Keeping
Maintain records of visitors, courier dispatches, and office communications.
Assist in filing, scanning, photocopying, and document management.
Update employee contact directories and office records when required.
Coordination:
Coordinate with housekeeping, security, and maintenance staff for smooth office operations.
Support project teams and departmental staff with administrative requirements.
Communicate effectively with clients, vendors, and stakeholders.
Qualifications:
Graduate in any discipline.
Diploma or certification in Office Administration is an added advantage.
Experience:
3–8 years of experience as a Receptionist, Front Office Executive, or Administrative Assistant.
Experience in the construction, infrastructure, or engineering industry is preferred.
Skills Required:
Excellent verbal and written communication skills.
Professional appearance and customer service orientation.
Good telephone etiquette.
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
Strong organizational and multitasking abilities.
Ability to maintain confidentiality and professionalism.
Pay: ₹25,000.00 - ₹30,000.00 per month
