About the Role
We're hiring a Client Servicing & Studio Coordinator to be the day-to-day backbone of the studio. This is a coordination-first role for someone organised, dependable, and quick on follow-through.
You'll be the first point of contact for client queries, keep orders moving from query to dispatch, and make sure nothing slips. You'll work directly with the founder. We want someone who takes ownership and closes loops without being chased, not someone who needs detailed instructions for every task.
What You'll Own
Client Coordination
- First point of contact for incoming WhatsApp, email, and phone queries - filter, respond, and route as per our internal SOP
- Handle straightforward queries end-to-end (smaller orders, ready-to-ship boxes) - guide clients on our website and close
- Route larger or custom queries to the founder
- Maintain the daily client tracker and follow-up logs
- No client query goes unanswered beyond 2 hours
Order Coordination & Dispatch QC
- Coordinate with merchandisers, warehouse, and packing on order readiness
- Final quality check on every dispatch before it leaves - packaging, presentation, accuracy
- Coordinate courier scheduling and delivery confirmation
- Handle post-delivery client communication
Records & Studio Upkeep
- Maintain clean, organised digital records of orders, POs, and dispatch documentation
- Oversee upkeep of the studio and warehouse - cleanliness, organisation, supplies
- Manage inventory of office and packaging supplies; coordinate with studio vendors
Internal Coordination
- Schedule meetings, prepare meeting notes
- Support hiring logistics - JD posting, resume coordination, interview scheduling
- Any operational task that needs doing, handled with ownership, not pushback
Who You Are
Must-haves:
- 2 - 4 years in client servicing, coordination, hospitality front-office, premium retail, or executive-assistant roles
- Excellent written and spoken English - articulate, professional, presentable
- Highly organised, you should be a pro in trackers, lists, and follow-ups
- Comfortable handling 8–10 different tasks in a day without dropping any
- Detail-oriented - you notice when something is "done" vs "done properly"
- Comfortable with WhatsApp Business, Gmail, and Google Workspace
- Comfortable learning Shopify (product uploads and order fulfilment) - prior experience a plus
- Ownership-led - you close loops without being reminded
A bonus if you have:
- Background with a premium brand, boutique studio, luxury hotel, or premium event/wedding firm

- You want to transition into design, marketing, or pure sales - this is a coordination-first role
