Who are we on the lookout for?
We are seeking a highly organized and efficient Office Administrator to manage and oversee daily
office operations. The ideal candidate will be proactive, resourceful, and able to handle a variety of
administrative tasks to ensure the office runs smoothly. This is an excellent opportunity for someone
who is detail-oriented, enjoys multitasking, and thrives in a dynamic work environment.
Key Responsibilities
- Administrative Support: Perform a wide range of administrative duties, including answering
phones, managing emails, scheduling meetings, and organizing office supplies.
- Office Coordination: Manage the office environment, ensuring it is clean, organized, and
efficient. Handle office equipment, oversee maintenance, and coordinate any required
repairs.
- Record Keeping: Maintain accurate files, records, and documentation, both electronically
and in physical formats. Ensure confidentiality of sensitive information.
- Communication Management: Serve as a liaison between different departments, clients,
vendors, and visitors. Communicate important information across teams.
- Scheduling & Calendar Management: Schedule meetings, appointments, and travel
arrangements for executives and team members. Ensure meetings are set up and properly
managed.
- Financial Administration: Assist with basic financial tasks such as Bank related work and
managing office budgets.
- Inventory Management: Monitor and maintain office supplies inventory, order replacements
as necessary, and track usage.
- Human Resources Support: Assist in HR-related tasks, such introducing new joiners to the
team by coordinating their first-day activities, orientation sessions, and providing necessary
resources.
- Event Coordination: Plan and coordinate office events, meetings, and company functions as
needed.
- Vendor Management: Establish and maintain relationships with vendors and suppliers.
Negotiate contracts, manage orders, and ensure timely delivery of goods and services.
Handle any issues or disputes related to vendor services and products.
- Asset Management: Oversee the tracking, maintenance, and replacement of office assets
such as computers, furniture, and equipment. Ensure proper documentation and asset
records are maintained. Assist in the disposal or recycling of obsolete equipment.
- Guest Handling: Greet and assist guests, clients, and visitors to the office in a professional
and welcoming manner. Ensure that guests are properly signed in, directed to the
appropriate meeting rooms, and offered any necessary amenities (e.g., refreshments).
- Handling Internet-Related Issues: Assist employees with basic internet connectivity and
network-related issues. Coordinate with IT support if technical problems require specialized
attention.
- Housekeeping Staff Handling: Oversee the daily operations of housekeeping staff, ensuring
that office cleanliness standards are met. Supervise tasks such as cleaning, sanitizing, and
maintaining office spaces. Address any concerns or issues regarding cleanliness and office
upkeep.
- General Office Duties: Provide general support to employees and management as needed,
ensuring a smooth workflow.
Qualifications
- High school diploma or equivalent required; associate's or bachelor’s degree preferred.
- Proven experience as an office administrator, office assistant, or in another relevant role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office
software.
- Ability to handle sensitive and confidential information.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team.
- A proactive approach to managing office responsibilities.
Pay: ₹20,000.00 - ₹30,000.00 per month
