Position Summary: The Front Office Administrator acts as the welcoming face of the university. You will be responsible for ensuring the smooth daily operation of the administrative reception area, providing high-quality support to faculty, staff, and a diverse student body. This role requires exceptional communication, multitasking, and organizational skills, along with a firm understanding of university policies and procedures.
Key Responsibilities:
- Reception & Communication: Serve as the first point of contact for all visitors, students, and staff. Answer, screen, and route incoming calls, and manage departmental email inboxes.
- Student Support: Provide front-line information regarding academic programs, campus services, office hours, and general administrative inquiries.
- Clerical & Administrative Support: Manage correspondence, draft documents, type memos, and maintain both digital and physical filing systems for the department.
- Scheduling & Room Management: Manage calendars, coordinate meetings, and book seminar rooms or lecture halls for faculty and staff events.
- Procurement & Inventory: Monitor and order office supplies, stationery, and equipment, while tracking departmental inventory levels.
- Data Entry & Reporting: Process forms, update university databases, and assist with data entry tasks for academic audits or reports.
- Event & Mail Logistics: Assist with the organization of departmental events (e.g., seminars, orientations) and manage incoming/outgoing campus mail and courier deliveries.
Qualifications:
- Education: Bachelor’s degree preferred; High school diploma or Associate’s degree required.
- Experience: 2–3 years of prior administrative or customer service experience, ideally in a higher education or corporate setting..
- Soft Skills: Strong interpersonal skills, ability to maintain confidentiality, and the capability to remain calm and professional in a fast-paced, high-volume environment
Pay: ₹25,000.00 - ₹45,000.00 per month
