Job Summary
The Tender Executive is responsible for identifying tender opportunities, preparing and submitting competitive bids, coordinating with internal departments, and ensuring timely compliance with tender requirements. The role involves handling Government, PSU, and Private Sector tenders while maintaining complete documentation and ensuring successful bid submissions.
Key ResponsibilitiesTender Management
- Search and identify relevant tenders through Government, PSU, and private procurement portals.
- Analyze tender documents, eligibility criteria, technical specifications, and commercial terms.
- Prepare complete tender documentation and ensure timely submission.
- Maintain a tender calendar and monitor submission deadlines.
Bid Preparation
- Coordinate with Sales, Engineering, Production, Finance, and Purchase departments for bid preparation.
- Prepare technical and commercial proposals in accordance with tender requirements.
- Compile supporting documents, certificates, declarations, and statutory documents.
- Ensure all bid documents are accurate, complete, and compliant.
Documentation & Compliance
- Maintain updated company documents such as GST, PAN, MSME, ISO certificates, and other statutory records.
- Ensure compliance with tender conditions and customer requirements.
- Prepare EMD, Bid Security, Performance Bank Guarantee (PBG), and other tender-related documentation.
- Maintain records of submitted, awarded, and rejected tenders.
Portal Management
- Operate Government e-Marketplace (GeM), CPP Portal, State Government e-Tender portals, and private procurement portals.
- Upload documents and submit online bids before deadlines.
- Track corrigendums, amendments, and bid status.
Coordination
- Liaise with internal departments for technical specifications, costing, pricing, and approvals.
- Coordinate with customers regarding tender clarifications and pre-bid queries.
- Follow up with clients regarding tender results and purchase orders.
Reporting
- Prepare weekly and monthly tender status reports.
- Maintain records of bid success rates and pending opportunities.
- Analyze lost tenders and recommend improvement measures.
Key Performance Indicators (KPIs)
- Number of tenders submitted.
- Tender success/win ratio.
- On-time tender submissions.
- Accuracy and compliance of tender documentation.
- Revenue generated through successful tenders.
- Zero disqualifications due to documentation errors.
Required Skills
- Strong knowledge of Government and Private Tender processes.
- Hands-on experience with GeM, CPP Portal, and e-Tender portals.
- Excellent documentation and proposal preparation skills.
- Good understanding of commercial terms, contracts, and procurement procedures.
- Strong analytical, communication, and negotiation skills.
- Proficiency in Microsoft Excel, Word, PowerPoint, and PDF tools.
- Ability to work under strict deadlines with high attention to detail.
Preferred Experience
- 2–5 years of experience in Tender Management, preferably in CNC Machines, Industrial Machinery, Manufacturing, or Engineering companies.
- Experience in handling Government, PSU, and Private Sector tenders.
- Knowledge of contract management and bid documentation.
Authority
- Coordinate with departments for tender documentation.
- Review tender eligibility and compliance requirements.
- Recommend bid submission based on management approval.
- Maintain official tender records and documentation.
Pay: ₹25,000.00 - ₹35,000.00 per month
