About the Role
Cindrebay School of Design is looking for an experienced, highly organised and execution-oriented Operations, Infrastructure & Facilities Manager to take complete responsibility for the day-to-day operational management, infrastructure, facilities, fixed assets and administrative functions of our Kannur Centre.
The role is primarily focused on ensuring that the branch infrastructure, physical assets, facilities and operational systems are maintained to the highest standards while also coordinating the branch's day-to-day administrative and operational activities.
The ideal candidate should possess substantial experience in facilities management, infrastructure supervision, maintenance coordination, vendor management, administration and branch operations, with the ability to independently manage multiple responsibilities and ensure smooth functioning of the centre.
Key ResponsibilitiesInfrastructure & Facilities Management
- Take complete responsibility for the maintenance and upkeep of the Kannur campus, ensuring that the premises remain clean, safe, functional and professionally maintained at all times.
- Supervise civil, electrical, plumbing, carpentry, painting, furniture, air-conditioning, networking, security systems and other infrastructure-related works.
- Plan and coordinate preventive maintenance schedules for all infrastructure and equipment.
- Attend to breakdowns, repairs and emergency maintenance with minimum disruption to academic operations.
- Monitor housekeeping, cleanliness, landscaping and overall appearance of the campus.
Asset Management
- Maintain accurate records of all branch assets, furniture, equipment, IT infrastructure and inventories.
- Coordinate procurement, installation, movement, maintenance, repair and replacement of assets.
- Conduct periodic physical verification of assets and inventories.
- Ensure proper utilisation, safety and accountability of company assets.
Vendor Management
- Identify, appoint and manage local contractors, maintenance agencies and service providers.
- Obtain quotations, negotiate rates and ensure quality services at competitive costs.
- Monitor vendor performance and ensure timely completion of maintenance and repair works.
- Verify bills, work completion and service quality before processing payments.
Branch Operations & Administration
- Ensure the smooth day-to-day operational functioning of the Kannur branch.
- Coordinate with the Head Office regarding operational requirements and implementation of company policies.
- Provide administrative support for academic activities and branch operations.
- Ensure classrooms, studios, offices and common facilities are fully operational before commencement of daily activities.
- Coordinate operational requirements relating to admissions, student services and branch events whenever required.
Compliance & Safety
- Ensure compliance with safety standards, fire safety requirements and statutory regulations applicable to the premises.
- Maintain records relating to maintenance contracts, service schedules, warranties and equipment servicing.
- Ensure timely renewal of Annual Maintenance Contracts (AMCs) and other operational service agreements.
Budget & Cost Control
- Monitor infrastructure and maintenance expenditure.
- Obtain competitive quotations and recommend cost-effective solutions.
- Ensure optimum utilisation of maintenance budgets without compromising quality.
Reporting
- Conduct periodic inspections of the campus and identify maintenance requirements.
- Submit regular reports to the management regarding infrastructure condition, maintenance activities, operational issues and improvement recommendations.
- Recommend upgrades and improvements to infrastructure and facilities whenever necessary.
Required Candidate Profile
- Graduate in any discipline. Technical qualifications in Civil, Electrical, Mechanical or Facility Management will be an added advantage.
- Minimum 8–15 years of relevant experience in Facilities Management, Infrastructure Management, Administration or Branch Operations.
- Experience in educational institutions, hospitals, commercial buildings, retail chains, hotels, malls, corporate offices, co-working spaces or multi-location organisations will be highly preferred.
- Good knowledge of civil maintenance, electrical systems, interiors, facility upkeep, vendor management and infrastructure coordination.
- Experience in supervising maintenance teams, contractors and external vendors.
- Strong administrative, coordination and organisational skills.
- Excellent negotiation and follow-up abilities.
- Ability to independently manage branch infrastructure and operational requirements.
- Good communication skills in English and Malayalam. Knowledge of Hindi will be an added advantage.
- Proficiency in MS Office and basic reporting tools.
