About the Role
Studio Rare is looking for a highly organized and dependable Studio Coordinator who will be responsible for the smooth day-to-day functioning of the studio. This role is ideal for someone who enjoys administration, coordination, organization, and people management.
The role is not design-focused and does not involve BOQs, drawings, or technical project work. Instead, the candidate will support the overall management of the office and assist the leadership team with operational tasks.
Key ResponsibilitiesOffice Administration
- Manage daily office operations and studio requirements.
- Maintain office supplies, stationery, and inventory.
- Organize files, documents, and records.
- Coordinate meetings and maintain calendars.
- Handle courier, vendor, and office-related coordination.
Material & Sample Management
- Organize and maintain the material library.
- Arrange and catalogue material samples.
- Coordinate sample collection and deliveries with vendors.
- Ensure samples are properly stored, labelled, and updated.
Accounts & Administrative Support
- Maintain records of invoices, payments, and purchase documents.
- Coordinate with the accountant for bookkeeping and compliance.
- Track vendor bills and payment schedules.
- Maintain expense records and office accounts documentation.
Coordination & Follow-Ups
- Follow up with vendors, suppliers, and consultants.
- Coordinate appointments and meetings.
- Assist management in tracking ongoing tasks and deadlines.
- Prepare meeting notes and action trackers.
Studio Management
- Ensure the office remains organized and efficiently managed.
- Coordinate team schedules and administrative requirements.
- Support founders with day-to-day operational activities.
- Assist in organizing team events, client meetings, and presentations.
Skills Required
- Strong organizational and multitasking skills.
- Good communication and follow-up abilities.
- Proficiency in Microsoft Excel, Word, and Google Workspace.
- Basic understanding of invoices and office accounts.
- Attention to detail and ownership of responsibilities.
- Ability to work independently and proactively.
Preferred Experience
- 1–4 years of experience in administration, office management, executive assistance, or studio coordination.
- Experience in an architecture, interior design, or creative studio is an added advantage.
