Key Responsibility Areas (KRAs)1. Calendar & Meeting Management
- Manage MD’s daily calendar, meetings, appointments, and travel schedule.
- Schedule internal and external meetings with clients, vendors, and department heads.
- Prepare meeting agenda, MOM (Minutes of Meeting), and follow-up action tracker.
- Ensure timely reminders and coordination for all meetings.
2. Coordination with Departments
- Coordinate with Production, Merchandising, Sampling, Stores, Dispatch, HR, and Accounts teams on behalf of MD.
- Collect daily/weekly MIS reports from departments and submit summary to MD.
- Follow up on pending tasks assigned by MD to department heads.
- Track deadlines and ensure timely completion.
3. MIS & Reporting
- Prepare daily, weekly, and monthly management reports.
- Maintain dashboard of:
- Production status
- Pending orders
- Dispatch schedule
- Job work status
- Fabric/accessories pending
- Payment follow-up
- Share important updates with MD regularly.
4. Documentation & Communication
- Draft emails, letters, notices, approvals, and internal communication on behalf of MD.
- Maintain confidential company records, files, agreements, and important documents.
- Handle incoming calls, emails, and correspondence for MD.
- Prepare presentations and reports for management meetings.
5. Vendor & Client Coordination
- Coordinate with vendors and clients as instructed by MD.
- Track approvals, quotations, purchase requirements, and important communication.
- Support MD in client meetings and follow-up actions.
6. Travel & Visit Management
- Arrange travel bookings, hotel bookings, and local travel for MD.
- Plan factory visits, client visits, and meeting schedules.
- Maintain travel expense records and approvals.
7. Project & Follow-up Management
- Monitor key projects assigned by MD.
- Maintain task tracker for ongoing projects and deadlines.
- Ensure follow-up with concerned teams until closure.
- Escalate delays or issues to MD.
8. Confidentiality & Executive Support
- Maintain strict confidentiality of company and management information.
- Handle sensitive documents and management discussions professionally.
- Provide day-to-day administrative and personal support to MD when required.

Preferred Experience
- 3–8 years as Executive Assistant / Management Coordinator
- Experience in garment/uniform manufacturing preferred
- Strong knowledge of Excel, MIS reporting, email drafting, coordination, and follow-up management
- Good communication and presentation skills
- Ability to work under pressure and handle multiple tasks simultaneously
Pay: ₹20,000.00 - ₹35,000.00 per month
Work Location: In person
