Job Overview
We are seeking a detail-oriented, highly organized Submission Officer to join our team. In this role, you will be responsible for coordinating, compiling, and processing complex documentation for formal submission to regulatory bodies, internal committees, or external clients.
Your primary goal is to ensure that all submissions are accurate, complete, compliant with relevant guidelines, and delivered strictly within established deadlines.
Key Responsibilities
- Document Compilation: Gather, review, and format required documents, forms, and technical data from various internal departments to build complete submission packages.
- Compliance & Quality Control: Review all materials to ensure they meet strict regulatory, legal, or organizational standards. Identify gaps, inconsistencies, or errors in data and coordinate corrections.
- Pipeline Management: Track the status of all ongoing and upcoming submissions. Maintain a rigorous schedule to ensure every deadline is met without sacrificing quality.
- Stakeholder Liaison: Act as the primary point of contact between internal teams (legal, R&D, finance, quality assurance) and external regulatory agencies or clients regarding submission statuses, updates, or queries.
- Archiving & Record Keeping: Maintain meticulous archives of all submitted packages, approval letters, and correspondence for audit readiness.
Required Skills and QualificationsEducation & Experience
- Degree: Bachelor’s degree in Business Administration, Law, or a field relevant to it
- Experience: 1-2 years of experience in a document management, regulatory affairs, or compliance-focused role. Freshers can also apply
Technical Skills
- Proficiency with document management
- Proficiency in Microsoft Office Suite (Word, Excel, Adobe Acrobat Pro).
Soft Skills
- Hyper-Attention to Detail: An eagle eye for formatting errors, missing signatures, and data discrepancies.
- Time Management: Proven ability to prioritize heavy workloads and juggle multiple high-stakes deadlines simultaneously.
- Communication: Clear, professional verbal and written communication skills for interfacing with external regulatory bodies.
