Job Purpose
The School Administration Manager is responsible for overseeing the day-to-day administrative operations of the school, ensuring smooth functioning of all non-academic activities. The role manages administration staff, facilities, transport coordination, security, housekeeping, vendor management, statutory compliance, and supports the leadership team in providing a safe, efficient, and well-maintained learning environment.
Key Responsibilities1. School Administration
- Oversee the daily administrative operations of the school.
- Ensure smooth functioning of front office, reception, and administrative support services.
- Develop and implement administrative policies and standard operating procedures (SOPs).
- Coordinate school events, meetings, examinations, and parent interactions.
2. Facility Management
- Ensure proper maintenance of school buildings, classrooms, laboratories, playgrounds, and common areas.
- Coordinate preventive and corrective maintenance activities.
- Monitor utilities including electricity, water, HVAC, generators, and internet services.
- Ensure campus cleanliness and hygiene standards.
3. Vendor & Contract Management
- Identify and onboard vendors as per procurement policies.
- Monitor vendor performance and service level agreements (SLAs).
- Verify bills, contracts, and service agreements.
- Ensure timely renewal of AMC and maintenance contracts.
4. Transport Management
- Oversee school transportation operations.
- Ensure vehicle maintenance, documentation, and statutory compliance.
- Coordinate transport routes and resolve transport-related issues.
- Monitor driver performance and safety practices.
5. Security & Safety
- Supervise security personnel and security systems.
- Ensure implementation of school safety protocols.
- Conduct periodic safety inspections and emergency preparedness drills.
- Maintain fire safety equipment and emergency response plans.
6. Compliance
- Ensure compliance with CBSE/Cambridge/State Board administrative requirements.
- Maintain statutory records, licenses, and regulatory documentation.
- Support audits and inspections by government authorities.
- Ensure adherence to health, safety, and environmental regulations.
7. Budget & Cost Control
- Prepare and monitor the administration budget.
- Track operational expenses and identify cost-saving opportunities.
- Approve routine administrative purchases within delegated authority.
- Maintain inventory and asset records.
8. Team Management
- Lead and supervise administrative, housekeeping, security, maintenance, and support staff.
- Conduct performance reviews and provide coaching.
- Prepare duty rosters and manpower plans.
- Ensure staff discipline and productivity.
9. Asset & Inventory Management
- Maintain records of school assets.
- Conduct periodic asset verification.
- Ensure proper storage and issue of materials.
- Monitor stationery and consumable stock levels.
10. Stakeholder Coordination
- Liaise with parents, vendors, government authorities, and service providers.
- Coordinate with HR, Finance, IT, and Academic teams.
- Support school leadership in operational planning.

Qualification
- Bachelor's degree in Business Administration, Facility Management, Operations, or a related field.
- Master's degree is preferred.
Experience
- 8–12 years of experience in school administration, facility management, or operations.
- Minimum 3–5 years in a managerial role.
- Experience in CBSE, Cambridge, IB, or international schools is preferred.
