Role Summary
The Executive Assistant works closely with the Partner – Finance, Growth and Strategy, helping keep their day, priorities, and communications running smoothly. It's a varied role that blends calendar and meeting coordination with a strong focus on documentation - preparing and organising reports, presentations, and correspondence. We're looking for someone smart, organised, and proactive, who's comfortable using modern tools including AI to work efficiently, and who handles information with discretion. Key Responsibilities
Documentation & Records Management
- Draft, format, proofread, and finalise a high volume of documents - reports, presentations, letters, notes, memos, and internal communications.
- Manage document workflows end-to-end - collate inputs from teams, circulate for review and signature, and track approvals to closure.
- Maintain organised, secure, and version-controlled filing of documents (physical and digital), including agreements, reports, and supporting records.
- Assemble and maintain data rooms, pre-read packs, and diligence documents for meetings and transactions.
- Maintain trackers, logs, and registers to keep documentation current, accurate, and easy to retrieve.
- Use AI and productivity tools to draft, summarise, format, and proofread documents faster and to a higher standard.
Calendar & Time Management
- Own and manage the Partner's calendar end-to-end - scheduling, rescheduling, and protecting time against competing priorities.
- Resolve scheduling conflicts using sound judgement on what matters most, and keep the Partner ahead of the day's commitments.
- Coordinate across internal partners, teams, and external stakeholders spanning multiple time zones where required.
Communication & Correspondence
- Act as the first point of contact for the Partner; screen, prioritise, and route calls, emails, and requests.
- Draft, review, and manage correspondence and communications on the Partner's behalf.
- Manage the inbox - triage, flag priorities, follow up on pending items, and ensure nothing slips.
Meeting & Stakeholder Coordination
- Organise and prepare for meetings with investors, bankers, auditors, firm leadership, and external partners - logistics, agendas, and pre-reads.
- Prepare briefing notes and background material so the Partner walks into every meeting fully prepared.
- Capture minutes and action points, track follow-ups, and chase deliverables through to closure.
- Serve as a professional, discreet liaison between the Partner and internal/external stakeholders.
Finance, Growth & Strategy Support
- Track the Partner's priorities, deliverables, and deadlines across investment, profitability, growth, and strategy workstreams; follow up with relevant teams (including the Senior Finance Analyst) to keep them on schedule.
- Manage the Partner's expenses, reimbursements, and approvals; coordinate with the finance team as needed.
- Assist with light research and information-gathering on investment, market, and growth-related items.
- Coordinate business-development and networking activity - meetings, events, and follow-ups that support the growth agenda.
Confidentiality & Discretion
- Handle sensitive financial, investment, commercial, and personnel information with absolute discretion.
- Uphold confidentiality obligations and DPDP Act 2023 compliance in the handling of personal and business data.
- Exercise sound judgement on what to escalate, what to hold, and what to handle independently.
General & Office Support
- Handle day-to-day administrative tasks and ad-hoc requests that free up the Partner's time.
- Coordinate with other EAs, admin, and support staff across the firm as needed.
- Provide occasional personal-support tasks as agreed, within reasonable scope.
Required Qualifications & Experience
- Graduate in any discipline; a commerce, business, or finance background is an advantage.
- 4-7 years as an EA/PA to senior leadership, preferably in professional services, finance, consulting, or a law firm.
- Strong MS Office / Google Workspace skills (Word, PowerPoint, Excel), with the ability to produce polished documents at speed.
- Excellent written and spoken English, with strong drafting and proofreading skills.
