Run the household as a system. Every operational decision, every staff issue, every vendor, every maintenance task, every visitor , flows through or is managed by the Estate Manager. The Principals should never have to chase a plumber, resolve a staff dispute, or wonder whether groceries were ordered.
Staff Management
- Direct management of all household operations staff (~12 people across kitchen, housekeeping, laundry, runner, gardener, accounts, and security).
- Daily staff attendance, shift scheduling, leave management.
- Weekly staff briefings. Monthly performance reviews.
- Hire, onboard, train, and terminate household staff in consultation with Principals.
- First 30 days: audit every existing staff member for output, attendance, attitude. Report findings to Principals.
Visitor & Gate Management
- Own the visitor management system: pre-approval protocol, visitor log (name, purpose, duration, approved by whom), daily security briefing.
- Screen all visitor requests. Route to appropriate PA for Principal/Co-Principal approval.
- Handle media, fans, and uninvited guests with firm courtesy and strict protocols.
- No visitor enters the children's zone without Co-Principal's explicit approval.
Property & Maintenance
- Oversee all property maintenance: plumbing, electrical, HVAC, landscaping, pest control, vehicle maintenance.
- Establish vendor SLAs within first 30 days. No ad-hoc vendor calls without Estate Manager approval.
- Inventory management: household supplies, kitchen provisions, cleaning materials.
- Emergency readiness: fire safety, first aid kits, power backup checks, security drills quarterly.
Financial Operations
- Submit daily expense reports to external Financial Controller.
- Zero tolerance for unaccounted cash or undocumented expenses.
- Weekly household budget tracking with Accounts Support, submitted to Financial Controller every Friday.
- Monthly household report to Principals: budget vs actual, staff performance summary, maintenance log, upcoming needs.
- All procurement above the defined threshold requires prior written approval via Financial Controller.
Kitchen Hierarchy Management
- Define and enforce clear kitchen roles: Chef handles elevated meals, hosting, menu planning, and variety. Head Cook handles daily family meals, children's meals, and staff meals.
- No overlap, no conflict. If a dispute arises, Estate Manager resolves it immediately.
- Coordinate with Fitness Trainer on Principal's nutrition requirements , Chef and Head Cook both follow the meal plan.
Coordination with Other Zone Leaders
- Daily 10-minute morning sync with both PAs: today's schedule, visitors expected, any household needs.
- Weekly coordination with Kids HOD: children's meal timing, quiet hours, visitor restrictions near kids' areas, any childcare supplies needed.
- Ensure household operations never disrupt the children's routine.
