Job Summary
The Sales Coordinator is responsible for coordinating daily sales operations between distributors, Sales Officers, Regional Sales Managers (RSMs), and the Head Office. The role ensures smooth communication, timely resolution of distributor and sales team queries, accurate sales reporting, and effective execution of sales activities.
Key ResponsibilitiesSales Coordination
- Coordinate daily sales activities with Sales Officers, RSMs, and distributors.
- Act as the primary point of contact for resolving operational sales issues.
- Follow up on pending sales-related activities until closure.
- Ensure smooth communication between the sales team and internal departments.
Distributor Support
- Handle distributor queries related to orders, dispatches, stock availability, schemes, pricing, claims, and payments.
- Coordinate with Accounts, Logistics, Production, and Customer Service to resolve distributor issues.
- Maintain records of distributor complaints and ensure timely resolution.
Sales Team Support
- Assist Sales Officers and RSMs with order processing and sales-related documentation.
- Coordinate new distributor onboarding and documentation.
- Support the implementation of promotional schemes and trade offers.
- Share circulars, price revisions, and company announcements with the sales team.
Order Management
- Monitor order status from receipt to delivery.
- Coordinate with dispatch and logistics teams to ensure timely deliveries.
- Track pending and back orders and communicate updates to the sales team.
Reporting
- Prepare daily, weekly, and monthly sales reports.
- Maintain sales data in Excel/ERP.
- Track sales targets, achievements, and pending orders.
- Generate MIS reports for management.
Issue Resolution
- Receive queries from distributors, Sales Officers, and RSMs.
- Coordinate with the concerned departments for quick resolution.
- Escalate unresolved issues to management.
- Ensure customer complaints are closed within the committed timeline.
Documentation
- Maintain distributor master data.
- Keep records of sales schemes, approvals, and communications.
- Prepare MOM (Minutes of Meetings) for sales review meetings when required.
Required Skills
- Excellent communication and coordination skills.
- Strong follow-up and problem-solving ability.
- Good knowledge of Microsoft Excel (VLOOKUP/XLOOKUP, Pivot Tables, reports).
- ERP/Sales software knowledge is an advantage.

Qualification
- Bachelor's Degree (MBA preferred).
- 2–5 years of experience in Sales Coordination, Sales Administration, or Customer Support.
