Position Overview
Celogen Pharma Pvt. Ltd. is seeking an experienced and result-oriented Senior Purchase Executive to manage raw material procurement for its pharmaceutical manufacturing operations. The incumbent will be responsible for sourcing, procurement, and timely availability of Active Pharmaceutical Ingredients (APIs), Excipients, and other production-related consumables while ensuring compliance with GMP, quality, regulatory, and company requirements.
The role requires strong technical knowledge of pharmaceutical procurement processes, vendor qualification documentation requirements, inventory planning, cost optimization, and coordination with cross-functional departments to ensure uninterrupted manufacturing and business operations.
Key Responsibilities
Procurement & Supply Management
- Manage end-to-end procurement of APIs, Excipients, laboratory consumables, and production-related materials.
- Ensure timely availability of raw materials to support production plans and business requirements as per production schedule
- Float RFQs, obtain quotations, conduct techno-commercial evaluations, and prepare comparative statements for management approval.
- Negotiate pricing, commercial terms, payment conditions, delivery schedules, and supply agreements with vendors.
- Generate and process Purchase Orders (POs) and track orders until successful delivery.
- Monitor procurement lead times and ensure uninterrupted supply of critical materials.
- Ensure compliance with company procurement policies and quality standards
- Coordinate with stores department for GRN and invoice processing and updated stock statements/inventory reports
Vendor Management & Qualification
- Identify, evaluate, qualify, suppliers for pharmaceutical raw materials
- Monitor vendor performance based on quality, delivery, responsiveness, compliance, and cost competitiveness.
- Support supplier audits and vendor development initiatives.
- Maintain vendor records, purchase data, and documentation accurately
Technical Procurement Activities
- Procure APIs and excipients as per approved specifications, pharmacopoeial standards, and regulatory requirements.
- Coordinate with Regulatory Affairs and manufacturing site’s QA departments regarding material approvals, deviations, investigations, and supplier-related quality concerns.
- Ensure procurement only from approved suppliers in accordance with quality management system requirements of the manufacturing site.
Inventory Planning & Control
- Monitor stock levels, safety stock requirements, reorder points, and procurement lead times.
- Coordinate with Stores, Warehouse, and Production Planning departments for Material Requirement Planning (MRP).
- Track pending purchase orders and expedite deliveries where required.
- Analyze material consumption trends and support inventory optimization initiatives.
- Review stock statements and inventory reports to ensure effective procurement planning.
Documentation & Compliance
- Coordinate vendor qualification and approval activities with Regulatory Affairs and the manufacturing site’s QA departments.
- Ensure availability of all required vendor qualification documentation from selected vendors at the time of raw material purchase, audits, requests from manufacturing site, etc.
- Maintain and review vendor qualification documents
- Maintain procurement documentation in compliance with company policies.
- Ensure complete and audit-ready records of purchase transactions, supplier documentation, contracts, and agreements.
- Support internal audits, customer audits, regulatory inspections, and compliance reviews.
- Coordinate with Stores and Finance departments for GRN processing, invoice verification, and payment follow-ups and updated stock statements/inventory reports
Cost Optimization & Strategic Sourcing
- Identify alternate suppliers for critical APIs, excipients
- Conduct market intelligence and supplier benchmarking exercises.
- Support cost-saving initiatives through strategic sourcing and supplier negotiations.
- Monitor market trends affecting raw material pricing, availability, and supply risks.
Educational Qualification
- Bachelor's Degree in Pharmacy (B.Pharm), Chemistry, Supply Chain Management, or a related discipline.
- Additional qualification or certification in Procurement, Materials Management, or Supply Chain Management will be an added advantage.
Experience Required
- 2-4 years of experience in pharmaceutical raw material procurement
- Active Pharmaceutical Ingredients (APIs)
- Excipients
- Knowledge of purchase processes and vendor coordination.
- Hands-on exposure to procurement activities supporting regulated and non-regulated markets.
- Prior experience dealing with suppliers supporting markets such as the US, EU, UK, Australia, Canada, LATAM, Africa, CIS, Southeast Asia, and other international regions will be preferred.
- Experience in supplier qualification, vendor audits, alternate vendor development, and procurement compliance activities.
- Familiarity with procurement requirements supporting product registrations, regulatory submissions, customer audits, and international compliance expectations.
- Experience in coordinating with Regulatory Affairs, QA, Warehouse, Planning, and Finance functions in a GMP-compliant environment.
Technical Competencies
- Strong understanding of pharmaceutical raw material procurement processes for regulated and non-regulated markets.
- Sound knowledge of APIs, excipients, pharmaceutical supply chains, and inventory management.
- Understanding of export and vendor qualification document requirements in regulated and non-regulated markets environments
- Familiarity with:

Pay: ₹35,000.00 - ₹45,000.00 per month
