Job Summary
The Hostel Administrator is responsible for the overall management and smooth functioning of the hostel facility. The role includes overseeing student welfare, accommodation management, discipline, safety, housekeeping, maintenance coordination, vendor management, and hostel staff supervision to ensure a safe, comfortable, and supportive living environment for residents.
Key ResponsibilitiesHostel Operations Management
- Manage day-to-day hostel operations and administration.
- Ensure proper room allocation and occupancy management.
- Maintain hostel records, resident databases, and documentation.
- Monitor compliance with hostel rules and regulations.
Student Welfare & Discipline
- Act as the primary point of contact for hostel residents.
- Address student concerns, complaints, and grievances promptly.
- Promote a safe, respectful, and positive hostel environment.
- Monitor student discipline and behavior in accordance with institutional policies.
Accommodation Management
- Coordinate student admissions, room allotments, transfers, and check-outs.
- Maintain records of room occupancy and availability.
- Conduct regular room inspections.
Safety & Security
- Ensure implementation of hostel safety and security procedures.
- Coordinate with security personnel to maintain a secure environment.
- Monitor visitor management and entry/exit records.
- Assist in emergency preparedness and response procedures.
Housekeeping & Maintenance
- Supervise housekeeping services to ensure cleanliness and hygiene standards.
- Coordinate maintenance and repair activities for hostel facilities.
- Conduct regular inspections of rooms, common areas, and facilities.
- Report and follow up on infrastructure-related issues.
Staff Supervision
- Supervise hostel wardens, housekeeping staff, security personnel, and support staff.
- Prepare duty rosters and monitor staff performance.
- Ensure adherence to operational standards and procedures.
Vendor & Inventory Management
- Coordinate with vendors for housekeeping, maintenance, catering, laundry, and other services.
- Monitor inventory of hostel supplies and consumables.
- Ensure timely procurement and replenishment of required items.
Financial Administration
- Assist in hostel fee collection and record maintenance.
- Monitor hostel-related expenses and budgets.
- Maintain records of deposits, fines, and other hostel charges.
Reporting & Documentation
- Maintain accurate hostel records and reports.
- Prepare occupancy, maintenance, incident, and compliance reports.
- Submit regular operational updates to management.
Qualifications
- Bachelor's degree in Administration, Management, Hospitality, Education, or a related field.
- Diploma or certification in Hostel Management, Facility Management, or Hospitality Management is an advantage.
Experience
- 2–5 years of experience in hostel administration, facility management, student housing, hospitality, or a similar role.
- Experience in educational institutions is preferred.

Working Conditions
- Full-time position.
- May require availability during evenings, weekends, or emergencies.
- Frequent interaction with students, parents, staff, and service providers.
