Job Purpose
To ensure the physical, mental, emotional, and social well-being of students residing in the school hostel and provide them with a safe, disciplined, caring, and homely environment.
The Hostel Warden will act as a guardian, mentor, supervisor, and role model for the students while they are away from their families.
Key Responsibilities1. Student Well-Being & Care
- Ensure the overall well-being of all hostel students.
- Develop a warm, approachable relationship with students so that they feel comfortable discussing their problems.
- Help new students settle into hostel life and overcome homesickness.
- Observe students for signs of stress, anxiety, bullying, isolation, behavioural changes, or other concerns.
- Provide emotional support and refer serious concerns to the appropriate school authority/counsellor.
- Treat every child with dignity, fairness, patience, and respect.
2. Homely Hostel Environment
- Create a hostel atmosphere where students feel safe, cared for, and at home.
- Encourage healthy friendships, cooperation, mutual respect, and a sense of brotherhood among students.
- Encourage students to develop independence while ensuring appropriate supervision.
- Organise or encourage informal hostel activities, games, celebrations, interactions, and recreational activities.
- Ensure younger students receive additional attention and support wherever required.
3. Discipline & Behaviour
- Maintain hostel discipline in a firm but caring manner.
- Ensure students follow school and hostel rules, timings, routines, dress standards, and expected behaviour.
- Counsel students before resorting to punitive measures wherever appropriate.
- Prevent bullying, fighting, abusive language, ragging, substance use, inappropriate use of mobile phones/electronic devices, and other prohibited behaviour.
- Immediately report serious disciplinary or safeguarding matters to the appropriate school authority.
- Maintain fairness and avoid favouritism.
4. Daily Routine & Supervision
- Supervise students during morning routines, meals, prep/study hours, recreation, evening routines, and bedtime.
- Ensure students wake up and go to bed according to the prescribed schedule.
- Ensure punctual attendance for school, meals, sports, prep, assemblies, and other activities.
- Conduct regular attendance/head counts, particularly at critical times.
- Ensure students do not leave the hostel/campus without proper permission.
- Maintain proper leave, outing, and student movement records.
5. Academic Support
- Ensure students attend and maintain discipline during evening prep/study hours.
- Encourage students to complete homework, assignments, and academic responsibilities.
- Identify students who are regularly avoiding studies or facing academic difficulties and coordinate with teachers/coordinators.
- Encourage healthy study habits without creating unnecessary academic pressure.
6. Health, Hygiene & Personal Care
- Monitor students' personal hygiene, cleanliness, grooming, clothing, and general health.
- Ensure students maintain clean beds, cupboards, belongings, and living spaces.
- Ensure sick or injured students receive timely attention from the school medical staff.
- Follow up on students who are unwell and ensure medicines are administered only according to school/medical protocols.
- Immediately report any medical emergency.
7. Hostel Safety & Security
- Maintain strict awareness of the whereabouts of hostel students.
- Ensure hostel safety and security procedures are followed.
- Conduct regular rounds of dormitories, corridors, washrooms/common areas, and hostel surroundings as appropriate.
- Report unsafe electrical fittings, damaged furniture, plumbing problems, fire hazards, or other maintenance issues immediately.
- Be familiar with fire, evacuation, medical, and other emergency procedures.
- Never leave students inadequately supervised.
8. Food & Mess Supervision
- Ensure students attend meals on time and maintain appropriate mess discipline.
- Observe whether students are eating properly, particularly younger students and students who appear unwell.
- Report genuine concerns regarding food quality, hygiene, quantity, or student nutrition to the concerned authority.
- Encourage proper table manners and avoidance of food wastage.
9. Parent & School Communication
- Maintain appropriate communication with parents as per school policy.
- Communicate significant concerns regarding a student's health, behaviour, emotional well-being, or hostel adjustment through the prescribed school channel.
- Coordinate closely with the Principal, Hostel In-charge, teachers, counsellor, medical staff, mess staff, security, and other departments.
- Maintain confidentiality regarding students and their families.
10. Records & Reporting
Maintain accurate hostel records including, as applicable:
- Daily attendance/head count
- Student leave and outing records
- Illness/medical incidents
- Behavioural and disciplinary incidents
- Parent communication
- Student concerns and follow-up
- Hostel maintenance complaints
- Significant incidents during duty
Immediately escalate any serious safety, medical, disciplinary, bullying, abuse, or safeguarding concern to the designated school authority.
Communication Skills
- Should have a good command of English and Hindi.
- Should be able to communicate confidently and respectfully with students, parents, teachers, and management.
- Should possess good listening and counselling abilities.
- Should be capable of handling difficult situations calmly and maturely.

Qualification & Experience
- Graduate preferred.
- Good command of English and Hindi.
- Previous experience in a residential/boarding school, hostel, defence environment, sports academy, or similar child-supervision role preferred.
- Experience handling school-age children/adolescents will be given preference.
- Basic computer and record-keeping skills desirable.
Duty Requirement
This is a residential and student-care position, not merely an administrative job.
The Warden should be prepared to remain available during hostel hours and respond appropriately to night-time illness, emergencies, emotional distress, disciplinary incidents, or other student needs.
Most Important Expectation
Every hostel student should feel that there is a responsible adult available who knows him, cares about him, listens to him, guides him, and keeps him safe.
The success of the Hostel Warden will be measured not only by discipline, but also by whether the hostel remains safe, organised, happy, respectful, and genuinely homely for the children.
