The Office Assistant is responsible for providing administrative and clerical support to ensure the smooth functioning of the school office. The role involves handling documentation, maintaining records, coordinating with parents, staff, and visitors, and assisting the administration team in day-to-day operations.
Key Responsibilities
- Manage day-to-day office administrative work.
- Handle student admission enquiries and maintain admission records.
- Maintain student and staff files, registers, and official documents.
- Draft letters, notices, circulars, certificates, and other official correspondence.
- Answer phone calls, emails, and respond to parent queries professionally.
- Coordinate with teachers and departments for administrative requirements.
- Maintain inward/outward registers and filing systems.
- Assist in organizing school events, meetings, and examinations.
- Prepare reports and maintain data using MS Office (Excel, Word, PowerPoint).
- Handle photocopying, scanning, printing, and document management.
- Maintain confidentiality of school records and information.
- Perform any other administrative duties assigned by the Principal or Management.
Required Qualifications
- Graduate in any discipline.
- Minimum 1–3 years of administrative experience (school experience preferred).
- Freshers with excellent communication skills may also apply.
Required Skills
- Excellent communication skills in English and Hindi.
- Good knowledge of MS Office (Excel, Word, PowerPoint).
- Good typing speed in English and Hindi.
- Strong organizational and time management skills.
- Professional attitude with pleasant personality.
- Ability to multitask and work under deadlines.
- Basic knowledge of office equipment and documentation.
Preferred
- Experience in school administration.
- Knowledge of school ERP software.
- Experience in handling parent communication.
