The Operations Specialist is responsible for coordinating day-to-day logistics operations, shipment planning, tracking, documentation, stakeholder communication, and system updates. The role ensures timely execution of shipments, accurate reporting, compliance with operational procedures, and effective coordination with customers, transporters, vendors, and internal teams.
- Prepare and update SAT reports based on DBS/SharePoint data twice daily.
- Coordinate daily operational activities with internal teams, customers, transporters, and labour vendors.
- Receive, confirm, and acknowledge customer bookings within 2 hours of receipt.
- Create TMF and GPS jobs at least 48 hours prior to scheduled pick-up.
- Arrange transport resources and submit crew details, vehicle information, and GPS tracking IDs to customers through Smartsheet.
- Follow up on E-Way Bill generation and ensure timely submission of shipment details and dimensions.
- Monitor shipment progress and proactively resolve operational challenges and critical shipment issues.
- Update shipment milestones, tracking information, and operational records accurately and on time.
- Upload PODs, delivery confirmations, seal details, and recovery quantities into Smartsheet on the same day of delivery.
- Maintain GPS tracking records and ensure timely updates in the designated tracking platforms.
- Complete all shipment-related activities in TMF, including job creation, cost accruals, revenue accruals, and shipment closure.
- Issue shipment pre-alerts and ensure all required documents are uploaded to the system.
- Maintain inventory records of operational tools, GPS devices, and equipment.
- Review and validate vendor invoices and coordinate with stakeholders for timely payment processing.
- Monitor operational KPIs, review shipment files, and ensure jobs are closed and locked in TMF within monthly closing timelines.
- Support continuous process improvement and undertake additional responsibilities as assigned by management.
- Graduate in Logistics, Supply Chain, Business Administration, or a related field.
- 5+ years of experience in logistics operations, freight forwarding, transportation, or supply chain coordination.
- Proficiency in TMF, Smartsheet, Microsoft Excel, and shipment tracking systems.
- Strong communication, coordination, problem-solving, and stakeholder management skills.
- Ability to work under pressure and manage multiple shipments simultaneously.
