An Event Operations Coordinator manages the logistical, technical, and practical details of events, ensuring seamless execution from planning to teardown. They coordinate vendors, manage on-site logistics (setup/breakdown), handle registration, and resolve issues to meet budgetary and timeline constraints. Key skills include organization, communication, and problem-solving.
- Logistics & Planning: Coordinate venue logistics, vendor schedules, transportation, and accommodation for attendees.
- On-Site Management: Oversee event setup, load-in/load-out, and breakdown, ensuring adherence to safety and quality standards.
- Vendor Management: Research, select, and manage relationships with vendors (caterers, A/V teams, decorators).
- Operational Support: Prepare event materials (badges, signage, materials), manage inventory, and maintain event databases.
- Troubleshooting: Act as the primary on-site contact to quickly resolve issues during the event.
- Communication: Liaison between clients, stakeholders, and staff to ensure clear communication of requirements.
Required Skills and Qualifications
- Experience: Proven experience in event planning, hospitality, or logistics.
- Communication: Excellent verbal and written communication skills for managing vendors and client expectations.
- Organization: Strong multitasking skills to manage multiple projects with competing deadlines.
- Technical Skills: Proficiency in MS Office and experience with event management software.
- Problem-Solving: Ability to remain calm and resolve issues under pressure.
- Bachelor’s degree in Events ,Hospitality, Public Relations, or relevant field.
- Often 2+ years of experience in fast-paced event or catering environments.
