Job Summary : Admin Supervisor includes overseeing administrative operations, supervising admin staff, ensuring facility management, and enforcing compliance with regulatory requirements. The Admin Supervisor maintains efficient workflow, supports smooth functioning of outpatient and inpatient services, and assists with budgeting and financial management.
Key Responsibility:
· Supervise & lead nursing staff, create shift schedules, manage manpower allocation and their leave plan. Conduct performance reviews by monitoring and documenting nursing care activities.
· Supervise and coordinate daily activities of administrative staff such as receptionists and secretarial personnel.
· Oversee facility maintenance, repairs, upgrades, and ensure safe, comfortable environment for staff, patients, and visitors.
· Support billing, records management, and patient registration as required by hospital protocols.
· Ensure compliance with regulatory, financial policies, and hospital procedures; conduct audits and maintain best practices.
· Assist in developing and monitoring administrative budgets and expenses.
· Coordinate with clinical and support departments for optimal patient flow and operations.
· Organize work schedules, delegate tasks, evaluate staff performance, and identify training needs.
· Handle patient queries, complaints, and support service quality improvements.
· Assist in accreditation/process improvement activities (e.g., ensuring records/archive systems are audit-ready.
· Engage with other departments for smooth workflow: linking patient journeys from front-office → diagnostics /OT/admissions.
Qualification:
· Bachelor’s degree in Business Administration / Hospital Administration. Post Graduation in MBA/ Hospital Administration.
Experience:
1. Overall: 10 Years of Administrative experience in a hospital, ideally with exposure to Hospital.
2. Relevant: Minimum 3- 7 Years of experience in hospital operations/ healthcare Service ideally within an hospital front-office, registration & records, vendor services, administrative staff coordination.
3. Age: 30- 35 Years.
4. Strong understanding of hospital operations, patient flows, revenue cycles, cost control, quality & safety standards.
5. Experience should include key areas such as OPD/IPD/OT workflow, revenue cycle, patient flow, staff management.
Soft skills:
1. Leadership and Management Skills: Ability to lead teams, oversee hospital operations, and manage administrative staff efficiently.
2. Communication Skills: Excellent oral and written communication to liaise with staff, patients, vendors, and external agencies.
3. Decision-Making Skills: Quick and effective decision-making to handle hospital emergencies, staffing issues, and operational challenges.
4. Relationship Building: Developing strong relationships with internal and external stakeholders for smooth hospital functioning.
5. Organizational Skills: Managing multiple tasks such as administrative workflows, staff coordination, and compliance effectively.
6. Problem Solving: Ability to address issues proactively and find effective solutions quickly.
Technical skills:
1. Hospital Management Knowledge: Understanding of hospital administration systems, hospital law, compliance standards.
2. Financial Management: Skills in managing budgets, expenses, and financial reporting.
3. Systems and Data Management: Competency in hospital information systems, data analysis, and record-keeping.
4. Operational Skills: Overseeing hospital departments, managing procurement, inventory, and logistics.
5. Regulatory and Quality Standards: Knowledge of healthcare standards, quality assurance, and licensing protocols.
Pay: ₹20,000.00 - ₹30,000.00 per month
