- Prepare, check, and finalize shipping documents for imports and exports including bills of lading (BL), house BLs, commercial invoices, packing lists, certificates of origin, mate’s receipts, delivery orders, and freight invoices.
- Coordinate with sales, operations, customs brokers, freight forwarders, and shipping lines to obtain required documentation, booking confirmations, and vessel/voyage details.
- Verify shipment data (HS codes, INCOTERMS, weight/dimensions, consignee/notify party, container numbers) for accuracy and consistency with customer instructions and booking.
- Submit documents to relevant parties (customs, port authorities, banks for LCs) and follow up to ensure timely release of cargo and delivery orders.
- Process and reconcile freight invoices, demurrage/DET claims, and document-related billing in coordination with finance.
- Maintain and update shipment records in the company’s TMS/HRIS/ERP and physical filing system; ensure document traceability and retention per company policy.
- Ensure compliance with customs, DGFT (as applicable), export control, and other regulatory requirements; flag and escalate potential compliance issues.
- Assist with queries and claims related to documentation, proof of delivery, shipment discrepancies, and post-shipment amendments.
- Support audits by preparing documentation packs and responding to internal/external queries.
- Participate in process improvement initiatives to reduce lead times, errors, and non-compliance.
Required qualifications and experience:
- Diploma or bachelor’s degree in Commerce, Logistics, Shipping, Business Administration, or related field.
- 2–4 years’ experience in import/export documentation, freight forwarding, shipping line back office, or customs operations.
- Familiarity with shipping documentation types, INCOTERMS, HS classification basics, and customs clearance processes.
- Experience using shipping/TMS/ERP software and MS Office (Excel, Outlook). Exposure to NIC or ICEGATE is a plus.
Skills and competencies:
- Strong attention to detail and accuracy.
- Good communication skills (English); Malayalam or Hindi useful for local coordination.
- Ability to prioritize tasks and manage multiple shipments under tight deadlines.
- Problem-solving attitude and customer-service orientation.
- Basic numerical and reconciliation skills.
- Team player with ability to work across functions (operations, sales, finance).
Pay: ₹25,000.00 - ₹35,000.00 per month
