The CPX Asia department is responsible for the overall execution of the Wind Farm from delivery of components, BOP electrical & civil works, installation & commissioning works and testing, up to handing over of the Wind Farm to the Customer.
Responsibilities
Establish and maintain effective document control processes to ensure accuracy, traceability, accountability, and compliance throughout the project lifecycle, aligned with company policies and ISO 9001 standards.
Maintain and govern the Project Document Control Plan and Communication Matrix, ensuring regular updates, monthly governance checks, and compliance with contractual and regulatory requirements.
Manage contractual document deliverables, submissions, transmittals, and correspondence, ensuring contract-compliant methods, turnaround times, and client response tracking.
Administer Document Management Systems (DMS) including setup, customization, MDL maintenance, transmittal tracking, and system administration across platforms such as Procore, SharePoint, and client DMS.
Perform quality control checks, monthly audits, and quarterly DMS usage audits to ensure completeness, accuracy, compliance, and effective system utilization; raise alerts for non-conformances.
Support Project Sales and Service Handovers by ensuring complete document transfer from Sales and readiness for Service Handover in line with Global Vestas guidelines and templates.
Assist in project close-out activities, including compilation of quality documentation, test certificates, and Operations & Maintenance Manuals.
Provide DMS and Procore training to internal and external stakeholders, including preparation of training materials, onboarding sessions, refresher training, and ongoing user support and troubleshooting.
Support CPX Asia team with document retrieval, downloads, reporting needs, and Power BI reporting solutions, including development of simplified workarounds and automation solutions where required.
Qualifications
5-8 Years of Project Assistance, Document Management & analytics
Management of Document Control infrastructure and processes in a construction environment – tier one companies valued
Experience in construction of Wind farms valued
Competencies
Proficiency in Microsoft Office Suite.
Basic/Advanced DMS Knowledge.
Power Bi – Basics
Microsoft Productivity Tools
Data Analytics skills
Verbal and written communication / negotiation.
Ability to prioritize, be organized and timely.
Ability to take initiative on actions that improve systems.
