Job Summary
The Fleet Executive is responsible for the efficient management of the organization's vehicle fleet by ensuring vehicle availability, compliance, maintenance, documentation, fuel management, and driver coordination. The role focuses on maximising fleet utilization while maintaining safety standards, controlling operational costs, and ensuring uninterrupted field operations.
Key Responsibilities
- Monitor daily fleet operations and ensure timely deployment of vehicles.
- Coordinate with drivers and field teams for vehicle scheduling and route planning.
- Maintain complete records of vehicle registration, insurance, permits, fitness certificates, pollution certificates, and other statutory documents.
- Schedule preventive maintenance and coordinate breakdown repairs to minimize vehicle downtime.
- Monitor fuel consumption and mileage, investigate variances, and implement fuel cost control measures.
- Maintain vehicle service history and repair records.
- Ensure compliance with company policies and transport regulations.
- Coordinate accident reporting, insurance claims, and vehicle recovery whenever required.
- Monitor GPS tracking systems and prepare vehicle movement reports.
- Verify driver documentation, including driving licenses and statutory compliance.
- Conduct regular inspections to ensure vehicles are clean, roadworthy, and equipped with required safety equipment.
- Maintain records of spare parts, tyres, batteries, and maintenance expenses.
- Prepare daily, weekly, and monthly MIS reports related to fleet utilization, maintenance, fuel consumption, and operational costs.
- Coordinate with vendors, workshops, fuel stations, and transport agencies for efficient fleet operations.
- Support audit and compliance activities related to fleet management.
- Identify opportunities to improve fleet efficiency and reduce operational costs.
Qualifications
- Bachelor's Degree in any discipline (preferred).
- Diploma or certification in Transport, Logistics, or Fleet Management is an added advantage.
Experience
- 2–5 years of experience in fleet management, logistics, transportation, or vehicle operations.
- Experience handling commercial vehicles, ambulances, Mobile Medical Units (MMUs), Mobile Veterinary Units (MVUs), or field service fleets is preferred.
Required Skills
- Knowledge of fleet management and vehicle maintenance practices.
- Understanding of transport regulations and statutory compliance.
- Strong coordination and communication skills.
- Good analytical and problem-solving abilities.
- Proficiency in MS Excel, MS Office, and fleet management software.
- Ability to prepare MIS reports and maintain accurate records.
- Vendor management and negotiation skills.
- Time management and multitasking abilities.

Working Conditions
