We are seeking a highly organized and detail-oriented Tender Executive to identify, prepare, submit, and manage government and private sector tenders. The candidate will be responsible for end-to-end tender management, including tender search, bid preparation, documentation, compliance verification, online bid submission, and coordination with internal teams to ensure successful participation in tenders.
Key ResponsibilitiesTender Identification & Analysis
- Monitor various e-Procurement portals such as:
- GeM
- CPPP
- State e-Procurement Portals
- PSU Tender Portals
- University & Government Websites
- Analyze tender requirements, eligibility criteria, technical specifications, and commercial conditions.
- Prepare tender synopsis and feasibility reports.
Bid Preparation & Submission
- Prepare Technical Bid and Financial Bid documents.
- Coordinate with technical, finance, and management teams for bid inputs.
- Draft compliance sheets, declarations, undertakings, and supporting documents.
- Upload and submit bids on e-tendering portals within stipulated timelines.
- Ensure compliance with tender conditions and bid submission guidelines.
Documentation & Compliance
- Maintain updated company credentials and statutory documents:
- GST Certificate
- PAN
- CIN
- MSME/Udyam Registration
- ISO Certificates
- EPF/ESIC Documents
- Audited Financial Statements
- Experience Certificates
- Work Orders & Completion Certificates
- Track EMD, Tender Fees, and Performance Security requirements.
- Maintain bid records and submission reports.
Client & Vendor Coordination
- Liaise with government departments, universities, PSUs, and private organizations regarding tender clarifications.
- Coordinate with OEMs, partners, and vendors for authorization letters and technical documents.
- Attend pre-bid meetings and prepare MOM (Minutes of Meeting).
Post-Bid Activities
- Track tender status and bid results.
- Prepare clarification responses and presentations when required.
- Coordinate for agreement signing, project initiation, and contract documentation upon award.
Required Skills
- Strong knowledge of Government Tendering Processes.
- Experience in GeM and e-Procurement Portals.
- Understanding of IT Projects, Software Development, Networking, and Digital Services.
- Excellent Documentation and Drafting Skills.
- Good Communication and Coordination Skills.
- Proficiency in MS Excel, MS Word, and PowerPoint.
- Ability to work under deadlines and manage multiple tenders simultaneously.
Preferred Qualifications
- Graduate in Business Administration, Commerce, IT, Engineering, or related field.
- Certification or experience in Procurement/Tender Management will be an added advantage.
