1. Claim Administration & Processing
- Validation: Review incoming warranty claims to verify product eligibility, coverage terms, and claim accuracy.
- Submission: Prepare and submit claims to the manufacturer or Original Equipment Manufacturer (OEM) portals within established timeframes.
- Tracking: Monitor claim statuses from submission to approval and follow up on delayed reimbursements or credit notes.
2. Customer Communication
- Resolution Updates: Keep customers informed about their claim status, next steps, and expected timelines.
- Expectation Management: Explain technical decisions and warranty coverage terms clearly and with empathy, ensuring clients feel valued.
3. Cross-Functional Coordination
- Liaising with Technicians: Partner with service teams and workshop managers to document repair write-ups and diagnose product failures.
- Parts Management: Coordinate with the parts department to ensure the correct replacement parts are used and that defective parts are tracked, returned, or disposed of according to strict guidelines.
4. Compliance & Record Keeping
- Audit Readiness: Maintain clean, organized documentation (such as service reports and inspection sheets) required for regulatory or manufacturer audits.
- Policy Adherence: Ensure every claim meets internal, supplier, and OEM guidelines to prevent claim rejections.
5. Reporting & Analytics
- Trend Analysis: Track claim patterns to identify potential recurring defects or flaws in product quality.
- Cost Tracking: Monitor warranty expenditures, approval rates, and cycle times to flag margin leakages and help reduce overall warranty costs
