Position Summary
We are looking for a detail-oriented and experienced US Accounting & Payroll Executive with 2–3 years of hands-on experience in US accounting and payroll operations.
The ideal candidate will have practical knowledge of US payroll processing, W-2, W-9, 1099, timesheet management, payroll deductions, journal entries, bank/account reconciliations, Accounts Payable (AP), Accounts Receivable (AR), and month-end closing activities.
The candidate should be comfortable working with US-based teams and have experience using accounting/payroll platforms such as QuickBooks Online, ADP, Gusto, Paychex, Rippling, or similar systems.
Key ResponsibilitiesUS Payroll Processing
- Process and coordinate end-to-end US payroll accurately and within defined deadlines.
- Review and validate employee timesheets, attendance, overtime, bonuses, commissions, deductions, and other payroll inputs.
- Handle payroll for different worker classifications, including W-2 employees and 1099 contractors, as applicable.
- Maintain and verify employee payroll records and supporting documentation.
- Assist with new-hire setup, employee changes, terminations, and payroll adjustments.
- Review payroll registers before processing and identify discrepancies.
- Coordinate with HR and management to resolve payroll-related issues.
- Maintain payroll records and ensure confidentiality of employee information.
- Assist with year-end payroll activities, including W-2 and 1099 reporting.
US Payroll Compliance
- Develop a working understanding of US federal, state, and local payroll tax requirements.
- Assist with payroll tax calculations, reconciliations, and reporting.
- Monitor payroll deductions, benefits, garnishments, and other applicable withholdings.
- Maintain accurate payroll documentation for internal review and audits.
- Assist in responding to payroll/tax-related queries and notices.
Accounting Responsibilities
- Maintain accurate accounting records in QuickBooks Online or other accounting software.
- Prepare and post routine journal entries, including payroll-related entries.
- Perform bank, credit card, payroll, vendor, and balance-sheet reconciliations.
- Record and reconcile payroll expenses and payroll liabilities with the general ledger.
- Assist with Accounts Payable (AP) and Accounts Receivable (AR) activities.
- Review invoices, expenses, vendor balances, and customer payments.
- Assist with monthly, quarterly, and year-end closing activities.
- Prepare supporting schedules and financial reports for management review.
- Identify and resolve accounting discrepancies in a timely manner.
Reporting & Documentation
- Prepare regular payroll and accounting reports.
- Maintain organized accounting and payroll documentation.
- Assist in preparing audit schedules and supporting documents.
- Ensure accounting records are accurate, complete, and audit-ready.
- Maintain appropriate documentation for all financial transactions.
Required Skills & Qualifications
- Bachelor's degree in Accounting, Finance, Commerce (B.Com), Business Administration, or a related field.
- 2–3 years of relevant experience in US Accounting and/or US Payroll.
- Hands-on experience with US payroll processing is preferred.
- Good understanding of W-2, W-9, 1099, payroll deductions, and payroll taxes.
- Working knowledge of US accounting principles and general ledger accounting.
- Experience with QuickBooks Online/Desktop or similar accounting software.
- Experience with payroll platforms such as ADP, Gusto, Paychex, Rippling, or similar is preferred.
- Strong knowledge of MS Excel, including VLOOKUP/XLOOKUP, Pivot Tables, SUMIFS, and basic data analysis.
- Good understanding of bank and balance-sheet reconciliations.
- Strong attention to detail and numerical accuracy.
- Good written and verbal English communication skills.
- Ability to work independently and meet strict deadlines.
- Strong analytical and problem-solving skills.
Preferred Experience
- Experience working with US-based accounting firms, staffing companies, consulting companies, or US clients.
- Experience handling multi-state US payroll.
- Familiarity with US payroll tax filings and compliance requirements.
- Experience with month-end and year-end closing.
- Exposure to AP, AR, bookkeeping, and financial reporting.
- Experience working in a US shift environment.
