Role Summary
We are hiring a Roster and Compliance Admin to support staff rostering, documentation review, compliance tracking, and quality administration for an Australian community services business operating supported accommodation homes.
This is a detail-focused administrative role combining workforce scheduling and compliance support. The role involves preparing and maintaining staff rosters, monitoring shift coverage, reviewing service documentation, identifying missing information, maintaining trackers, and escalating operational or compliance gaps to the relevant teams.
This role is suitable for someone with experience in rostering, workforce scheduling, compliance administration, quality checking, healthcare operations, documentation review, audit support, BPO back-office administration, or process assurance.
Key Responsibilities
Rostering and Workforce Coordination
- Prepare, update, and maintain staff rosters across multiple service locations.
- Monitor shift coverage and identify unfilled, urgent, or high-risk shifts.
- Coordinate with internal teams regarding staff availability, leave, shift swaps, cancellations, and roster changes.
- Update rostering systems accurately and in a timely manner.
- Track replacement requirements and ensure roster information is accurate before shifts commence.
- Maintain roster-related trackers, reports, and daily shift coverage updates.
- Escalate staffing gaps, repeated availability issues, urgent coverage risks, or unresolved roster concerns.
- Support daily, weekly, and forward-planning roster activities.
Compliance, Quality, and Documentation Review
- Review service notes, care-related records, incident records, and operational documentation for accuracy and completeness.
- Check whether required documentation has been completed as per internal guidelines.
- Review incident records to ensure required details, timelines, follow-up actions, and outcomes are documented.
- Identify missing information, inconsistencies, documentation errors, or quality gaps in records.
- Maintain trackers for compliance checks, pending actions, documentation gaps, and review outcomes.
- Escalate incomplete, incorrect, sensitive, or high-priority records to the relevant team.
- Support internal quality audits, file reviews, and periodic compliance checks.
- Assist with preparing quality reports, roster summaries, compliance updates, and management reports.
Communication and Administration
- Communicate clearly with Australian operations teams through email, chat, and internal systems.
- Follow structured processes, escalation rules, checklists, and standard operating procedures.
- Handle sensitive information professionally and maintain confidentiality at all times.
- Support internal follow-ups to ensure pending roster or compliance actions are completed on time.
- Work closely with operations, rostering, compliance, and service delivery teams.
Required Skills and Experience
- 1–3 years of experience in rostering, scheduling, staffing coordination, compliance support, quality assurance, document review, healthcare administration, BPO operations, audit support, workforce management, or admin support.
- Strong attention to detail and ability to identify errors, gaps, and inconsistencies.
- Good written and verbal English communication skills.
- Strong reading comprehension and ability to review records accurately.
- Good Excel or Google Sheets skills.
- Comfortable using scheduling software, CRM systems, trackers, checklists, and internal systems.
- Ability to work under pressure, especially when managing urgent shift changes or time-sensitive documentation issues.
- Strong follow-up skills and ability to meet deadlines.
- Ability to handle sensitive and confidential information professionally.
- Willingness to work early morning Australian time zone shifts.
Preferred Experience
- Experience in healthcare, aged care, disability care, home care, supported accommodation, staffing operations, or community services.
- Experience in healthcare staffing, disability support rostering, hospitality staffing, security staffing, logistics, or call centre workforce scheduling.
- Prior exposure to incident reports, case notes, service records, audit documentation, or compliance records.
- Experience using rostering platforms, workforce management tools, CRM systems, or documentation management systems.
- Experience working with Australian, UK, US, or other international clients.
- Prior exposure to Australian business operations.
Skill Assessment May Include
- Creating or updating a sample roster.
- Identifying roster gaps from a shift schedule.
- Prioritising urgent staffing or documentation issues.
- Reviewing sample service notes or records and identifying missing information.
- Checking a sample incident report for completeness.

Pay: ₹30,000.00 - ₹45,000.00 per month
