Job Summary
The Head – Administration & Procurement is responsible for leading and managing all administrative, procurement, infrastructure, transport, housekeeping, security, and facility management functions across the school network. The role ensures smooth campus operations, cost-effective procurement, vendor performance, regulatory compliance, and timely infrastructure readiness to support academic and operational excellence.
Key Responsibilities1. Procurement & Inventory Management
- Develop and implement procurement strategies for all campuses.
- Ensure timely procurement and delivery of goods and services.
- Monitor purchase orders, contracts, inventory, and stock availability.
- Standardize procurement processes and maintain procurement documentation.
- Ensure compliance with procurement policies and internal controls.
- Minimize procurement delays and optimize inventory levels.
2. Vendor Management & Cost Control
- Identify, evaluate, onboard, and manage vendors.
- Negotiate contracts, pricing, and service-level agreements (SLAs).
- Conduct periodic vendor performance evaluations.
- Drive cost optimization initiatives while maintaining quality standards.
- Ensure vendor compliance with organizational policies and statutory requirements.
- Build long-term strategic vendor partnerships.
3. Infrastructure & Facility Management
- Oversee construction, renovation, repair, and maintenance activities across campuses.
- Ensure campus infrastructure is fully operational before every academic session.
- Monitor preventive and corrective maintenance schedules.
- Coordinate with contractors and service providers for infrastructure projects.
- Ensure safe, functional, and aesthetically maintained campuses.
4. Transport & Logistics Management
- Manage school transport operations across locations.
- Ensure compliance with transport safety norms and statutory regulations.
- Monitor vehicle maintenance, documentation, and route planning.
- Resolve transport-related issues within defined timelines.
- Optimize transport operations for efficiency and cost-effectiveness.
5. Housekeeping & Security Management
- Supervise housekeeping and security service providers.
- Ensure cleanliness, hygiene, safety, and security standards across all campuses.
- Conduct regular inspections and compliance audits.
- Monitor deployment of housekeeping and security personnel.
- Ensure adherence to SOPs and operational checklists.
6. Administrative Compliance & Audits
- Conduct periodic administrative audits across campuses.
- Ensure compliance with organizational SOPs and documentation standards.
- Track closure of audit observations within stipulated timelines.
- Implement continuous improvement initiatives based on audit findings.
- Maintain all statutory and administrative records.
7. Team Leadership
- Lead and mentor administration and procurement teams across campuses.
- Establish performance goals and monitor departmental KPIs.
- Coordinate with Principals, Operations, Finance, and other stakeholders.
- Foster a culture of accountability, operational excellence, and continuous improvement.
Required Qualifications
- Bachelor's degree in Business Administration, Supply Chain Management, Operations Management, Engineering, or a related field.
- MBA or PG Diploma in Operations/Supply Chain/Administration is preferred.
Experience
- 10–15 years of experience in Administration, Procurement, Facilities, or Operations.
- At least 5 years in a leadership role.
- Experience managing multi-location operations, preferably in the education sector or large organizations.

Pay: Up to ₹130,000.00 per month
