- Bachelor's Degree in Commerce, Science, Pharmacy, Supply Chain Management, Business Administration, or a related field.
- MBA / PGDM in Supply Chain Management, Operations, Procurement, or Materials Management is preferred.
- Certification in Supply Chain or Procurement (CPSM, CIPS, etc.) will be an added advantage.
Job Summary
The Purchase Manager is responsible for leading the procurement function for the diagnostic business, ensuring the timely sourcing and uninterrupted availability of laboratory reagents, diagnostic kits, consumables, equipment, and operational supplies across laboratories and collection centres. The role focuses on strategic sourcing, vendor management, inventory optimization, cost control, compliance, and efficient procurement operations to support business continuity and operational excellence.
The ideal candidate should have strong negotiation skills, experience in healthcare or diagnostic procurement, and a proven ability to manage vendor relationships while optimizing procurement costs without compromising quality.
Key Responsibilities1. Procurement & Strategic Sourcing
- Manage end-to-end procurement of laboratory reagents, diagnostic kits, consumables, instruments, medical equipment, and general operational supplies.
- Develop and implement procurement strategies aligned with organizational objectives and operational requirements.
- Ensure timely procurement and uninterrupted supply of materials across all laboratory locations.
- Identify alternate sourcing options to reduce dependency on single vendors and strengthen supply chain resilience.
- Monitor market trends, pricing, and product availability to ensure competitive purchasing.
2. Vendor Management
- Develop and maintain strong relationships with approved suppliers, manufacturers, and distributors.
- Evaluate vendors based on quality, pricing, delivery performance, service standards, and regulatory compliance.
- Negotiate pricing, payment terms, contracts, annual rate agreements (ARAs), and service-level agreements (SLAs).
- Conduct periodic vendor performance reviews and maintain an approved vendor database.
- Resolve supplier-related issues and ensure timely corrective actions.
3. Inventory & Stock Management
- Coordinate with Stores, Laboratory Operations, and Logistics teams to monitor inventory levels.
- Maintain optimum inventory levels while minimizing stock-outs, overstocking, and expiry losses.
- Analyze consumption patterns and forecast procurement requirements based on business demand.
- Implement inventory control measures and monitor slow-moving and non-moving inventory.
- Ensure proper stock rotation and inventory accuracy across all locations.
4. Cost Optimization & Budget Control
- Drive procurement cost-saving initiatives through strategic sourcing, negotiations, and vendor consolidation.
- Analyze procurement spend and identify opportunities for cost reduction and operational efficiency.
- Monitor procurement budgets and ensure purchases remain within approved financial limits.
- Prepare cost-benefit analyses for major procurement decisions.
- Support management in achieving financial and operational objectives.
5. Compliance & Documentation
- Ensure procurement activities comply with company policies, statutory regulations, and quality standards.
- Maintain accurate procurement documentation, including purchase orders, quotations, contracts, invoices, and vendor records.
- Support internal and external audits related to procurement, inventory, and compliance.
- Ensure procurement practices align with quality requirements applicable to diagnostic laboratories, including NABL-related standards where applicable.
6. Cross-Functional Coordination
- Collaborate with Laboratory Operations, Finance, Stores, Logistics, Quality Assurance, and Administration teams to ensure seamless procurement processes.
- Address urgent procurement requests and operational escalations promptly.
- Work closely with department heads to understand current and future material requirements.
- Coordinate with vendors to ensure timely deliveries and issue resolution.
7. Reporting & MIS
- Prepare daily, weekly, and monthly procurement MIS reports and dashboards.
- Monitor procurement KPIs such as:
- Cost savings
- Procurement cycle time
- Vendor performance
- Inventory turnover
- Purchase order compliance
- Stock availability
- Present procurement performance reports and recommendations to senior management.
