# Job Description – Front Desk & Administration Executive (Factory)
## Position: Front Desk & Administration Executive
## Department: Administration / HR

### Key Responsibilities:
#### Front Desk & Administration
* Manage the front desk by welcoming visitors, vendors, and employees in a professional manner.
* Handle incoming calls, courier dispatches, and correspondence.
* Maintain visitor records and coordinate gate passes as per company policy.
* Provide administrative support to HR, Accounts, Production, and other departments.
#### HR & Documentation
* Maintain and update employee-related registers including Attendance, Leave, Bonus, Overtime, and other statutory records.
* Maintain and organize employee files related to PF, ESI, Leave Records, Attendance, Joining Documents, and other HR documentation.
* Prepare and share monthly attendance reports and maintain proper records of leave applications.
* Ensure all employee records and statutory documents are updated accurately and maintained systematically.
#### Administrative & Facility Management
* Coordinate with Production, Accounts, Administration, Stores, Security, and Factory Workers for smooth day-to-day operations.
* Monitor office maintenance activities and ensure proper upkeep of office infrastructure and equipment.
* Regularly inspect Conference Rooms, Meeting Rooms, Reception Area, and other factory premises to ensure cleanliness, readiness, and proper functioning.
* Coordinate housekeeping, pantry, stationery, and office supplies, ensuring timely replenishment.
* Maintain records of office assets and coordinate with vendors for maintenance and repairs.
* Support management in routine administrative activities and internal coordination.
#### Logistics & Vehicle Coordination
* Maintain daily records of factory vehicles and transport movement.
* Track loading and unloading activities of all company vans and ensure timely documentation.
* Coordinate with dispatch, stores, and production teams for smooth vehicle movement.
* Maintain inward and outward movement registers and report any delays or discrepancies to management.
* Coordinate with drivers and transport personnel to ensure timely dispatch and receipt of materials.
#### Record Management
* Maintain proper documentation and filing systems for administrative and HR records.
* Ensure all registers, files, and reports are updated accurately and available for audits or management review.
* Perform any other administrative or coordination duties assigned by management.
## Skills Required:
* Good communication and interpersonal skills.
* Strong coordination and organizational abilities.
* Basic knowledge of MS Excel, MS Word, and office documentation.
* Ability to maintain records systematically with attention to detail.
* Knowledge of attendance management, leave records, and statutory documentation is preferred.
* Ability to coordinate effectively with multiple departments and factory personnel.
* Responsible, disciplined, and proactive approach toward administrative and operational tasks
Pay: ₹16,000.00 - ₹18,000.00 per month
