- Front Office Support: Greeting clients, visitors, and vendors, and directing them to the appropriate person.
- Communications: Answering, screening, and forwarding incoming phone calls, as well as managing emails and mail.
- Administrative Tasks: Filing documents (physical and electronic), data entry, scanning, copying, and faxing.
- Scheduling: Coordinating meetings, appointments, and managing calendars.
- Office Maintenance: Keeping common areas tidy, managing office supply inventory, and ensuring equipment is operational.
- Logistics & Support: Assisting with travel arrangements, arranging meetings, and handling basic bookkeeping, such as expense tracking.
Required Skills and Qualifications
- Communication: Strong verbal and written communication skills.
- Technology: Proficiency in MS Office (Word, Excel, Outlook) and general office equipment (printers, scanners).
- Organization: Excellent time management and organizational skills, with the ability to prioritize tasks.
- Interpersonal Skills: A professional and friendly demeanor with strong customer service skills.
- Experience: Previous experience as an office assistant, receptionist, or in a similar administrative role is often preferred.
