Job Summary
We are looking for a highly organized, proactive, and responsible Executive Assistant to the Managing Director to provide comprehensive administrative, coordination, and management support.
The ideal candidate will act as a key coordination point between the MD and various departments, ensuring timely follow-up on important activities, meetings, reports, and business decisions.
Key Responsibilities
1. Executive Support
- Manage the MD's daily calendar, appointments, meetings, and schedules.
- Coordinate internal and external meetings on behalf of the MD.
- Prepare meeting agendas, presentations, reports, and required documents.
- Maintain confidentiality of sensitive business and management information.
- Handle correspondence, emails, calls, and communications as required.
2. Management Coordination
- Coordinate with department heads such as Production, Quality, HR, Finance, Purchase, Sales, NPD, and Maintenance.
- Collect and consolidate departmental reports for MD review.
- Follow up with concerned departments on action points and deadlines.
- Track pending activities and ensure timely closure.
- Prepare daily/weekly/monthly management updates.
3. Meeting & MIS Support
- Prepare Minutes of Meeting (MOM) and circulate action points.
- Maintain an action tracker and follow up with responsible persons.
- Prepare MIS reports, dashboards, and management presentations.
- Monitor key business activities and highlight critical issues to the MD.
4. Business & Administrative Coordination
- Coordinate with customers, suppliers, consultants, visitors, and other external stakeholders as instructed by the MD.
- Assist in planning business meetings, visits, events, and management activities.
- Support the MD in special projects and business initiatives.
- Coordinate travel arrangements, schedules, and related requirements when necessary.
5. Documentation & Confidentiality
- Maintain organized records of important management documents.
- Ensure timely availability of reports and information required by the MD.
- Handle confidential documents and information with complete discretion.
- Maintain proper filing and tracking systems.
Pay: ₹220,000.00 - ₹300,000.00 per year
Work Location: In person
