Position Overview
We are looking for a smart, organized, and customer-focused Receptionist & Coaching Class Administrator to manage front-office operations, student inquiries, admissions, scheduling, and day-to-day administrative activities. The ideal candidate should possess excellent communication skills, basic computer knowledge, and the ability to handle students, parents, and faculty professionally.
Key ResponsibilitiesFront Desk Management
- Welcome students, parents, visitors, and faculty members.
- Handle incoming phone calls, WhatsApp messages, and walk-in inquiries.
- Provide information about courses, fees, batches, schedules, and admission procedures.
- Maintain a professional and friendly reception area.
Student Admissions & Counseling
- Assist prospective students and parents with course selection.
- Explain course details, fee structures, and enrollment processes.
- Maintain admission records and documentation.
- Follow up with inquiries and convert leads into admissions.
Administrative Operations
- Maintain student databases and records.
- Manage attendance records for students and faculty.
- Prepare daily, weekly, and monthly reports.
- Handle document filing, data entry, and record management.
- Coordinate with management regarding operational requirements.
Batch & Schedule Management
- Prepare and manage batch schedules.
- Coordinate classroom allocation and faculty schedules.
- Inform students regarding batch timings, holidays, exams, and schedule changes.
- Ensure smooth execution of classes and academic activities.
Fee Collection & Accounts Support
- Collect fees and issue receipts.
- Maintain fee payment records and pending fee reports.
- Follow up with students regarding outstanding payments.
- Coordinate with accounts for financial reconciliation.
Communication & Parent Coordination
- Maintain regular communication with students and parents.
- Send reminders regarding classes, tests, fees, and events.
- Handle student and parent queries professionally.
- Resolve basic concerns and escalate issues when necessary.
Digital & Social Media Support
- Manage WhatsApp groups and student communication channels.
- Assist in updating student notices and announcements.
- Support basic social media posting and promotional activities.
- Maintain online inquiry records.
Examination & Event Support
- Assist in organizing tests, examinations, seminars, and workshops.
- Prepare examination attendance sheets and reports.
- Coordinate student registrations for events and activities.
Required Skills
- Excellent communication skills in English, Hindi, and Marathi.
- Strong interpersonal and customer service abilities.
- Good computer knowledge (MS Office, Google Sheets, Email, Internet).
- Familiarity with CRM software or student management systems is preferred.
- Ability to multitask and work in a fast-paced environment.
- Good organizational and time-management skills.
- Professional appearance and positive attitude.
Educational Qualification
- Graduate in any discipline preferred.
- Diploma or certification in administration, customer service, or office management is an added advantage.
Experience
- 1–3 years of experience in reception, administration, customer support, or educational institutions preferred.
- Freshers with excellent communication and organizational skills may also apply.
